    PART-TIME TECHNICAL ASSISTANT

    Job Description:

    This position reports to the Office Manager in the Law School Admissions Office. This position is primarily responsible for completing applications in the admissions database and scanning and attaching all required documents to individual law school applications. The technical assistant is also responsible for inventory management, recruitment mailings and prospect data, preparing and mailing admission packets, uploading student video interviews to student applications, answering phone calls and assisting in managing the front desk in the Admissions Office.

     

    Responsibilities:

     

    • Complete all applications in the admissions database ensuring proper supporting materials are attached to applications and following up with applicants for any missing addenda when necessary. Manually check each admitted applicant’s electronic file on a weekly basis to ensure admit emails were opened and the admitted student is aware of pending deadlines. Upload prospect information to database after each recruitment event.
    • Scan and attach all relevant hard copies of documents to applications and ensure proper document tracking. Upload applicant video interviews from RIVS system and attach to applicant files in ACES. Answer any applicant questions regarding the video interview process. Write and mail bi-weekly birthday cards to admitted students.
    • Greet visitors, answer prospective student questions on the main admissions phone for specified hours daily.
    • Maintain and track office inventory. Keep detailed spreadsheets for all mail campaigns, including a record of all items sent. Pack and mail recruitment shipments. Manage front lobby, kitchen area, and copier and make sure different papers and toners are well stocked and projects are printing on correct paper.
    • Create name badges, recruitment folders, admission packets and all other relevant documents for admission events. Coordinate efforts with other departments. Work at open houses and admitted student events. Pack and track several large mailings to prospective and admitted students, as needed.
    • Performs other duties and special projects as assigned.

     

    Qualifications:

     

    • Bachelor’s degree is preferred.
    • Minimum of at least three years’ professional experience is preferred.
    • Possess excellent technological, operational and customer service skills (preferably experience in Banner system).
    • Strong organizational skills and ability to multitask in a fast paced environment.
    • Flexibility with work hours is sometimes required.

    • Ability to quickly learn proprietary systems
    • Excellent written and verbal communication
    • Provide premiere service to clients with a “can do" attitude
    • Desire to train across multiple job functions for increased utilization
    • Ability to handle highly confidential information
