    ASSISTANT DEAN - GRADUATE DIVISION

    JOB DESCRIPTION & RESPONSIBILITIES:

     

    The Assistant Dean facilitates daily operations of the Graduate Division by providing excellent and efficient service to students in the areas of recruitment, admission, registration, and graduation. The Assistant Dean supports decision-making by providing data and analysis. In support of recruitment, the Assistant Dean reviews applications and ensures that applicants meet requirements for admission and supports all recruitment efforts for the Graduate Division. For graduation, the Assistant Dean compiles and verifies graduation lists for September, January, and May conferrals. The Assistant Dean also serves as University Events and Registrar liaison for graduate commencement activities. The Assistant Dean represents the Graduate Division at the Liberal Arts Faculty Council, Graduate Council, Registrar, and University Assessment Commencement meetings. The Assistant Dean manages Graduate Directors' Handbook, Microsoft Teams for the Graduate Division, internship handbooks, dissertation/thesis handbooks, and School Forms page updates to communicate policies and procedures for faculty and students. The Assistant Dean, as a member of the College's Marketing/Communication and Social Media team, develops and manages content on the St. John's College of Liberal Arts and Sciences web pages and social media outlets, including Facebook, Twitter, and lnstagram. The Assistant Dean also writes success stories and news items for the College and develops additional native content.

     

     

    MARKETING/COMMUNICATION AND SOCIAL MEDIA OPERATIONS:

     

    • Produce success stories and news items for the St. John' s College of Liberal Arts and Sciences web pages and promote these pieces on social media. This entails interviewing the student/faculty/alumni, obtaining a    photo, collecting quotes from key players, writing the piece, receiving draft approval, and posting to the website and social media.
    • Maintain inventory and production schedules of success stories, news it ems, and online brochures.
    • Monitor and update all College-level, department-level, and program-level pages to ensure functionality and accuracy.
    • Manage College social media accounts (Facebook, Twitter, and lnstagram) and post 2-5 times daily. Work to increase engagement across all social channels, including the development of native content and social media campaigns.
    • Implement St. John's College Linked In account. Prepare content and monitor account.
    • Write and distribute a monthly Graduate Division e-Newsletter to faculty, students, alumni, and administrators in the College, as well as prospects and inquiries in Slate.
    • Assist the SJC Marketing Team with generating ideas for Marketing & Communications features and supporting College program-level marketing campaigns.
    • Attend monthly Institutional Advancement meetings as part of the SJC Marketing Team.
    • Proficiency using Buffer, Facebook Creator, Canva, and Lumen 5.
    • Proficiency with social media management platforms including Sprout Social.
    • Proficiency with content-management systems including Drupal 9.

     

     

    SKILLS/COMPETENCIES:

     

    • Strong interpersonal, organizational, analytic, writing, and communication skills, including a demonstrated ability to assimilate complicated information and effectively speak and write.
    • Ability to keep up-to-date on evolving technologies. Strong editorial skills.
    • Strong work initiative, task-oriented with the ability to achieve results independently. Understanding of the management and dissemination of accurate information, especially in a web-based environment.
    • Demonstrated experience using digital content management systems such as Drupa 9.
    • Demonstrated experience managing social media platform s including Facebook, Twitter, lnstagram and LinkedIn for an organization.
    • Demonstrated experience using social media scheduling tools such as Sprout Social.

     

     

    ENSURING STUDENT SUCCESS:

     

    • Monitor and update advisement reports in DegreeWorks for all active graduate programs in the College.
    • As needed, provide data reports from SDA to faculty and administrators about College activity and enrollment.
    • Program course waivers and substitutions into Banner and DegreeWorks for individual students based on Graduate Educational Policy Committee (GEPC) memos from departments.
    • On a biennial basis, oversee edits to the Graduate Bulletin to ensure accuracy. Work with Marketing and Communications and the departments to ensure the Graduate Bulletin is accurate and up to date.
    • Provide priority number reports to all graduate programs to facilitate student advisement and registration.
    • Review and approve change of grade, change of record, advanced standing, and transfer credit requests. As needed, review change of program, withdrawal, and registration forms.
    • As needed, review and approve permission forms for undergraduate students to take graduate courses.
    • Award Digital Badges to eligible students and regularly query for students who may be eligible for badges.
    • Serve as a voting member of the Liberal Arts Faculty Council.
    • Attend meetings of Graduate Council as a non-voting member.
    • Coordinate student representative elections for the Liberal Arts Faculty Council and Graduate Council.
    • Attend Registrar Deans' meetings and implement relevant policies.
    • Represent the College on the University Assessment Committee (UAC) and work within the College and across the University to facilitate the process of collecting program-level assessment data.
    • Serve on the Business Process Transformation (BPT) committee to represent the Graduate Division as the University works to streamline administrative processes.
    • Oversee automated forms for theses and dissertations.
    • Serve as the Registrar liaison for graduate salary differential letters.
    • Send professional licensure notice to all incoming students in licensure-granting programs.

     

     

    COMMENCEMENT ACTIVITIES:

     

    • Serve as University Events liaison for the College for all aspects of the commencement ceremony.
    • Coordinate the Graduate Commencement Ceremony Program with Marketing and Communications.
    • Manage September, January, and May graduation lists for the Graduate Division and coordinate degree conferral with the Office of the Registrar.
    • For September, January, and May, report the total number of doctoral degrees conferred by the College to the Survey of Earned Doctorates (SED,) along with contact information for degree-holders.
    • Print the Certificates of Excellence and Advanced Certificates in International Law and Diplomacy and Public Administration for all conferral terms and coordinate signatures with the department chair and/or Dean.
    • Monitor dissertation and thesis submissions through ProQuest ETD Administrator.

     

     

    GRADUATE DIVISION ADMINISTRATIVE AND OPERATIONAL ASSIGNMENTS:

     

    • Ensure that graduate chairs and program directors, along with their staff, have access to an updated Graduate Directors' Handbook that accurately reflects College and University Policy.
    • Maintain a Teams channel for SJC graduate program directors and chairs, which includes helpful links and resources, as well the updated Graduate Directors' Handbook.
    • Maintain a Teams channel for current graduate student s, which includes important links and resources.
    • Manage the School Forms web page and Graduate Calendar.
    • Maintain accurate and up to date master's thesis and doctoral dissertation handbooks and post to the School Forms page.
    • Compile information to disseminate to new graduate students at Orientation in fall and spring.

     

     

    REQUIRED QUALIFICATIONS

     

    • Master's Degree in a liberal arts or sciences field.
    • 2 years higher education experience.
    • Demonstrated commitment to the Mission of the University. Demonstrated commitment to diversity, equity and inclusion. Expertise in using Access to collect and analyze dat a.
    • Demonstrated experience producing native content for brochures, websites, success stories, news events and social media posts.

  • Qualifications
    • Skill in installing, troubleshooting, repairing, overhauling, aligning, testing, and maintaining complex equipment and machinery.

    • Advanced knowledge of equipment and machine control modes in sufficient depth to trace symptoms of equipment malfunction and distinguish mechanical, pneumatic, and hydraulic failures from those which are electrical or electronic.

    • Ability to make precise adjustments for alignment, parallelism, due to the continuing effects of malfunctions throughout the entire machine or equipment.   

    • Ability to perform precise measurements of air and fluid pressure and flow, and knowledge of the mechanisms used to convert such readings into measurable units.  

    • Ability to interpret complex multi view drawings, sketches, wiring diagrams, manufacturers' specifications, and other technical material to isolate malfunctions in such devices as hydraulic pumps and motors, mechanical clamping devices, and electric or hydraulic axis drive and positioning systems.

    • Advanced knowledge of construction and assembly techniques and the ability to manufacture replacement parts with complex configurations or assemble unique devices with unusual angular relationships.   

    • Knowledge of geometry, shop mathematics, and handbook formulas to provide for surfaces with interrelated dimensions and to calculate angles, clearances, fits, pressure, flow, and other parameters of interest.

    • Job requires ability to exert 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to move objects.

    • MUST BE ABLE TO WORK 7:00 PM TO 7:00 AM SHIFT; MONDAY, TUESDAY, WEDNESDAY OR THURSDAY, FRIDAY, SATURDAY; ALTERNATING ON AN EIGHT WEEK ROTATION.

    • Education:  Associates degree or trade school certificate in a related discipline preferred.

    • Computer literacy required.

    • Ability to operate a cutting torch or welding equipment preferred.

    • Ability to work in a team environment required.

    • Demonstrates a strong attention to detail.

    • Ability to read blueprints and fabricate parts to exact specifications.

    • Ability to operate CNC milling machines and CNC plasma cutting equipment referred.

    • Experience in printing industry required.
