  • Responsibilities

    Purpose of Position

    The Records Manager is responsible for organizing, maintaining, and protecting storage and archives of all records, in both paper and electronic forms, to achieve a structured, efficient and user-friendly system, resulting in effective and efficient management of the company's records.

     

    Accountabilities

     

    • Develops and manages company record division and information management.
    • Responsible for overseeing the storage, backup and maintenance, reproduction, protection, and disposition of all records.
    • Evaluates and recommends media formats and storage requirements to be used for records/information.
    • Ensures that the process and the policies that comply with all the regulatory requirements for record retention are followed.
    • Design and implements systems and processes to protect and secure critical records and information.
    • Collaborates with the Legal Department in the design and implementation of processes, guidelines and policies for record retention, storage facilities and destroying of matured and voided records.
    • Ensures projects/goals are met and adhering to the approved budgets
    • Follow and meet reporting deadlines set by the Director, Office of the President.

    Minimum Skills Required

     

    • 4-Year College Degree
    • Previous 5 years of experience in similar position in records / document / archives management
    • Excellent writing, editing, grammatical, organizational, and research skills
    • Exceptional attention to detail, and the ability to maintain absolute confidentiality
    • Organizational skills that reflect ability to work independently, and efficiently perform and prioritize multiple tasks seamlessly with excellent attention to detail
    • Excellent management, time-management, and problem-solving skills
    • Experience working in global, multicultural environments with required cultural awareness
    • Advanced knowledge and interest of technology and business applications; advanced skills of Microsoft Office programs (ie. Word, Excel and Outlook, etc.) and technologies that support the document management (DocuSign, SharePoint, OneDrive etc.)
    • Bi-lingual: Fluent in Spanish and English

    Bachelor degree in discipline related to functional work or role with 3-5 years of relevant work experience OR demonstrated ability to meet the job requirements through a comparable number of years of applicable work experience.

     

    Able to demonstrate ability to solve somewhat more complex problems by analyzing variables and applying appropriate solutions learned through experience and proficiency in understanding the job. Must be able to recognize anomalies and critical situations and respond appropriately.  Must be able to communicate and interact with a variety of internal/external customers and/or co-workers at level of detail required to resolve issues of moderate complexity.

     

    Able to apply strong functional computer knowledge in utilizing Microsoft Windows, Word, Excel, Google Docs, Visio, MS Project or Smartsheet for project management, or other technical tools in completing assignments.  May require knowledge of or ability to quickly learn specialized software to complete work assignments.  Able to demonstrate continued expertise in the primary tools or applications used in completing daily work assignments.

    Requires very good communication skills with ability to state messages in a clear manner by using language that is easy for others to understand.

     

    Must be able to proactively listen to others to understand issues and situations.  Must be able to clearly articulate business needs to both internal and external customers.
