    SPECIFIC JOB TITLE: Archives Technical Assistant 

    REPORTS TO: Archives Librarian 

    CAMPUS: Queens Campus

      

    Job Summary:

    Under the overall direction of the Archives Librarian, this position supports the operations of the University Archives and Special Collections, including the Asian Library. The Archives Technical Assistant works with students, faculty and staff to answer basic archival research and ready reference questions in various modes (e.g. email, phone, virtual or in-person). The Archives Technical Assistant also maintains records related to research requests, on-site visits, materials retrieval, and operational procedures. The position may also include supervision of up to 3 student workers.

     

    Essential Functions: 

    • Performs basic Archives reference duties including researcher assistance, answering email requests, or other reference or image requests.
    • Assists Archives Librarian in supervising, scheduling and training student workers in Archives processing.
    • Assists Archives Librarian in mounting exhibits and
    • Locates, retrieves and re-shelves archives and special collections
    • Locates and scans photographs and images from the collection for patrons and for internal
    • Keeps office files, as well as unit digital files and forms, organized and easily
    • Reviews all finding aids for accuracy and Checks all finding aid edits done by student assistants.
    • Reports building maintenance and environmental issues relating to archives and special
    • Updates all public communication channels (e.g. voicemail message, patron signage, social media).
    • Identifies materials and collections to digitize for digital exhibitions and digital humanities
    • Orders all office supplies and orders archival materials for the maintenance of the physical collections in Archives and Special Collections.
    • Tracks all archives orders, working with Budget Analyst and Collection Management, ensuring adherence to all rules and regulations.
    • Assists Archives Librarian with graphic design work for Archives/Special Collections promotional materials, exhibits, handouts, etc.
    • Assists in the coordination, delivery and pick-up of materials relating to Records Management when needed.

    This is a full-time, on-campus position. The expected days and hours of work are Monday through Friday, 8:30 a.m. to 4:30 p.m. Due to the material-centered nature of Archives and Special collections work, the job is fully on-campus, with no remote work options.

      

    Travel: 

    This is an on-campus position, based on the Queens campus, although some projects/meetings may include visits to the other NY campuses on Staten Island and/or Manhattan.

     

    Required Education and Experience: 

    • High School diploma or equivalent
    • Two years of related library
    • 1-3 years professional or volunteer experience in a library or archives

     

    Preferred Education and Experience: 

    • Associate or bachelor's
    • 3-5 years professional or volunteer experience in a library, particularly in an academic library and/or a special collections department or archives.
    • Professional or volunteer experience in an academic/school setting with the ability to effectively communicate with students, academic, lay and religious faculty.
    • Shelving experience in a library using the Library of Congress (LC) call number
    • Knowledge of local, regional and NY state
    • Experience with scanning and image
    • Familiarity with Software programs such as Adobe Photoshop, Adobe Illustrator

    _In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $39,000 - $41,000.  St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.   _
