    COMPENSATION & BENEFITS:

    $44,100 to $56,890, commensurate with experience. Benefits are competitive and include health, dental, vision, Life/AD&D, STD/LTD coverage, paid time off policy and paid holidays, 401k with 6% matching, active transportation commuting, and wellness benefits.

    **JOB DESCRIPTION:

    The bookkeeper provides comprehensive financial support to the Senior Director of Administration and Marketing, ensuring accurate recording and processing of financial transactions. While this role plays a critical part in maintaining financial records, processing payroll, managing invoices, and supporting various administrative tasks related to finance and accounting, it's important to note that a significant portion of our accounting functions are outsourced to a full-time third-party firm. This position demands meticulous attention to detail, exceptional organizational skills, and effective communication abilities to facilitate seamless financial operations. Please be aware that this is a support position without opportunities for advancement beyond the stated responsibilities.

    RESPONSIBILITIES:

    Financial Transactions Processing:

    • Record daily financial transactions accurately and timely, including receipts, invoices, and other financial documents.
    • Code and classify transactions in accordance with proper accounting categories, grant allocations, and departmental tags.
    • Process credit card receipts, ensuring proper coding and documentation in QuickBooks Online (QBO).
    • Code invoices, confirming details with project managers, verifying grant assignments, and ensuring we have proper vendor documentation.
    • Acquire proficiency in utilizing the online grant tracking system, Monday.com, to access and retrieve grant-related information.
    • Process employee expense reports, ensuring accurate categorization and grant coding.
    • Create and manage internal invoices for program service revenue, donations, and other transactions as requested
    • Follow up on payment status and process invoice payments efficiently using bill.com and QuickBooks Online.

    Payroll and Benefits Administration:

    • Process payroll for hourly and salary staff members, ensuring accuracy and compliance with company policies and regulations.
    • Assist the Sr. Director of Administration & Marketing with maintaining the payroll allocation spreadsheet, ensuring accuracy and compliance with organizational policies.
    • Assist in benefit program support, open enrollment, and payments related to payroll, including 401k contributions, garnishments, and child support.
    • Set up new hires and terminations in the payroll system, processing pay/benefit changes and PTO requests as needed.
    • Collaborate with the Senior Director of Administration & Marketing on 401k plan administration duties.

    Financial Reporting and Analysis:

    • Record adjusting journal entries as necessary for receivables, prepaid expenses, accounts payable, accrued expenses, inventory, and deferred revenue.
    • Create financial reports in QuickBooks as needed or requested.

    Other duties may be assigned to support the financial operations of the organization.

    QUALIFICATIONS:

    • Associate's degree in accounting, finance, or a related field, or equivalent relevant experience.
    • 3-5 years of proven experience as a bookkeeper or in a similar role, demonstrating proficiency in financial transactions processing and payroll administration.
    • Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
    • Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
    • Proficiency in Microsoft Office Suite, QuickBooks Online, and other relevant software applications.
    • Problem-solving abilities and willingness to seek clarification or guidance when needed.
    • High degree of confidentiality and integrity in handling sensitive financial information.
    • Ability to work in a fast-paced office environment and handle a large volume of complex data accurately.

    PHYSICAL DEMANDS:

    • Regular use of a PC or Mac along with relevant software applications.
    • While performing the duties of this job, the employee is regularly required to sit, talk, hear, and use hands to handle objects.
    • The employee must occasionally walk, reach with hands and arms, and kneel or crouch. They must also occasionally lift and/or move up to 25 pounds.
