    Job Description

    A leading physical therapy and sports-training center in the Wellesley area is seeking a well-qualified Operations Coordinator. 

     

    Within our center, we incorporate a cross-disciplinary model of physical therapy, personal training, individualized group training and sports performance conditioning. Our mission is to provide the highest quality of manual therapy and progressive treatments, as well as the latest in strength training, conditioning, and therapeutic exercise techniques for the prevention of future injury. Our clients range from the professional and amateur athlete, the post-operative patient, motivated individuals looking for help solving a chronic injury, and a spectrum of clients from youths to seniors. 

     

    KEY RESPONSIBILITIES AND DUTIES: 

    • Assist front desk staff in daily customer service phone calls, intakes, scheduling, and client questions on phone and in person.  
    • Ability to field sport center client sales calls and in person inquiries when necessary. 
    • Answer daily billing questions upon request from clients.   
    • Act as liaison between upper management and front desk staff on important updates and policy changes.   
    • Ability to take on and assist with various side assignments and projects from business manager and owner. 
    • Act as liaison between our 3rd party insurance biller and business manager to ensure claims are effectively being processed.   
    • Process and distribute incoming mail to appropriate personnel.   
    • Oversee weekly maintenance and office supply ordering.  Schedule repairs for appliances as needed.   
    • Organize and oversee work schedules for front desk staff.   
    • Assist in creating marketing emails and flyers using photoshop and constant contact software upon request.

       

    REQUIRED QUALIFICATIONS: 

    • At least 3 years of front desk/receptionist experience. 
    • Must be able to multi-task in a dynamic and fast-paced environment.  
    • Must have excellent follow through and follow-up skills.   
    • Must have excellent communication skills, both verbal and email (written).  
    • Must possess exceptional customer service skills. 
    • Strong computer skills, including Word, Excel, Microsoft Email, and web-based scheduling software. 
    • Possess excellent organizational, time management, and follow up skills with the ability to pay attention to detail. 
    • Maintains a professional attitude and represents our brand well. 
    • Bachelor’s degree required.  PREFERRED QUALIFICATIONS: 
    • Experience with Constant Contact and Photoshop.
