    Job Summary

    We are seeking a Training & Legal Fund Coordinator to join our team! The Training and Legal Fund Coordinator is responsible for providing comprehensive administrative support to the Training and Legal Fund's administrators, members, instructors, affiliated attorneys and students. This role involves managing office operations, coordinating communication, maintaining records, and daily interaction with Fund participants. As a new Fund, this role requires a team player, and flexibility, with the ability to shift to a variety of tasks quickly. The person in this role will have a significant impact on ensuring high standards of access to important training and critical legal services for participants. This role reports to the Training Services Manager.

    Responsibilities:

    Intake Coordination:

    Answering phone calls, texts and emails from Local 1 members inquiring about class registration and/or seeking assistance from the legal fund

    Keep accurate records – class registration rosters, billing history, notes on services being requested

    Verifying eligibility for services

    Administrative Support:

    Provide administrative support to the Fund Director, Training Services Manager, affiliated attorneys and instructors

    Prepare and distribute class materials, reports, and other documents.

    Maintain accurate and organized filing systems (electronic and physical).

    Support the Fund in maintaining accurate and updated member contact information.

    Handle incoming calls and emails, directing inquiries appropriately.

    Manage requests from Property Managers and contractors regarding employee records.

    Support on maintenance of fund specific statistics and KPIs

    Maintain Standard Operating Procedures (SOPs) for the position

    Student Support for Training Fund:

    Verify eligibility of the member seeking services

    Assist students with inquiries regarding enrollment, schedules, certificates earned and other administrative matters.

    Maintaining attendance records, student history and class grades

    Assist with the coordination of student events and activities.

    Legal Administration:

    Coordinate internal case management processes.

    Keep on top of billing process with vendors.

    Communication and Coordination:

    Serve as a liaison between the fund, students, instructors, trustees, and external partners.

    Engage members through technology, written materials and in-person presentations regarding the Fund benefits.

    Support on surveys, including data collection and reporting, to members or employers.

    Support on drafting SMS/MMS communications and responses to members.

    Coordinate with vendors, instructors and service providers.

    Compliance:

    Ensure compliance with all training and legal fund policies and procedures.

    Maintain confidentiality of sensitive information.

    As this is a new fund, the Directors may assign additional tasks as deemed necessary and appropriate.

    Qualifications:

    High school diploma or equivalent required; associate's or bachelor's degree preferred.

    Minimum of 3 years of experience in an administrative or office management role.

    Bilingual candidates (Spanish and/or Polish) will be given priority for this position.

    Excellent communication, interpersonal, and customer service skills.

    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

    Understanding of Google products (Gmail, Google Docs, Google Sheets)

    Experience using teleconferencing platforms (Zoom or Microsoft Teams)

    Strong organizational and time management skills.

    Ability to multitask and prioritize effectively in a fast-paced environment.

    Attention to detail and accuracy.

    Ability to work independently and as part of a team.

    Experience working in an educational setting is a plus.

    Experience working in a legal environment is strongly preferred

    Must be available to work in the office 5 days a week, some remote work will be possible after an initial training period
