    Job Description

    Major law firm has a great opportunity for an HR and Recruiting Assistant. The ideal candidate will perform the duties outlined below:

    ▪ Work closely with the Human Resources Manager and Senior Recruiting Manager

    ▪ Provide general administrative support including reconciliation of expenses, organization of calendars, contacts, meetings, travel arrangements, preparing for meetings, act as “gatekeeper” by monitoring emails and calendars and communicating interdepartmentally; demonstrating leadership to maintain credibility, confidentiality, trust and support with management and staff

    ▪ Ensures all secretarial and administration support positions are staffed on a daily basis and provides temporary relief as necessary

    ▪ Provides staff recruiting and hiring support, including resume intake, coordination of interviews, applicant letters, and orientation sessions.

    ▪ Preparation and updating of new hire and on-boarding materials

    ▪ Maintenance of employee files in DMS and HRIS, as well as physical files

    ▪ Assists with tracking CLE compliance and updating attorney CLE records

    ▪ Coordinate logistics such as contracts, budgets, menus, room set-up, etc. and calendaring for NY Recruiting events, provide event management support as needed

    ▪ Assist in coordination of the summer associate recruiting program including schedule on campus interviews, coordination of law school annual events, summer social events and gifts, corresponds with applicants and other firms regarding shared NALP expenses

    ▪ Assist in coordination of recruiting efforts by maintaining and updating applicant database, creating candidate files, sending status updates, and completing audits

    ▪ Assist in resolving administrative issues

    ▪ Perform other related departmental duties as assigned

    Requirements:

    ▪ Bachelor’s degree and/or 2+ years of related experience

    ▪ Law firm or professional service experience preferred

    ▪ Able to maintain a high level of integrity and discretion in handling confidential information

    ▪ Exceptional organization skills and attention to detail required

    ▪ Ability to react with appropriate levels of urgency to situations and events

    ▪ Make appropriate, informed decisions regarding priorities and available time

    ▪ Strong verbal and written communication skills

    ▪ Ability to develop and maintain relationships at all levels

    ▪ Ability to multi-task and work in a fast-paced environment

    ▪ Proficiency in MS Office Suite

    ▪ Knowledge of viGlobal Suite is a plus
