Transaction Coordinator & Administrative Partner
Windermere Northwest Living is looking for a dedicated partner to join our high-performing real estate firm in Vancouver, WA. This is a full-time, on-site position where you will manage the lifecycle of real estate transactions and serve as a central hub for office operations. We are fully committed to training the right person. Prior transaction coordination experience is a plus, but not required. Instead, we value a service-oriented mindset, a proactive approach, and the ability to master complex systems quickly. This role is designed for someone who takes pride in ownership and prefers building high-touch professional relationships over performing repetitive clerical tasks. In this position, you will become a strategic asset for a dedicated group of 20–25 agents. You will balance technical transaction management with essential office duties, supporting our agents behind the scenes by overseeing their transactions and maintaining a welcoming, efficient professional environment for the branch. Responsibilities: Transaction Management: • Manage the entire transaction flow from contract to close for a dedicated group of agents. • Conduct weekly check-ins with agents to provide updates, gather information, and ensure timely progress on transactions • Collaborate closely with the entire team and program manager to maintain a smooth workflow and strong communication • Approach challenges with a solution-oriented mindset and the ability to resolve issues quickly and effectively • Learn quickly and stay ahead of evolving processes, tools, and transaction requirements • Understand and apply standard real estate contracts and documentation with accuracy and confidence • Maintain a strong understanding of real estate contract timelines to help keep transactions on track and compliant • Leverage technology to streamline workflow—must be comfortable navigating CRMs, MLS platforms, SkySlope, e-signature software, and other industry tools • Work efficiently across multiple systems and digital platforms with a high level of proficiency and minimal supervision Office & Agent Support: • Participate in a shared staff rotation to serve as the first point of contact for the office, answering phones and providing professional assistance to clients and guests during assigned shifts • Work alongside the team on a rotating schedule to manage daily office duties and provide immediate support to any agent or client who walks in Qualifications: Requirements • Experience & Learning: While previous real estate experience is a plus, it is not required. We are looking for someone with a genuine desire to serve others and the capacity to rapidly master real estate contracts and digital management tools • Customer Service Focus: You have a natural "hospitality first" mindset.
