We are currently adding a Patient Care & Site Coordinator to our growing team!
Position Summary:
Provide exceptional customer service to make sure the highest quality work standards are achieved and maintained according to practice policies and procedures. Ensure patients know whom to speak to about their issues and concerns. Help patients navigate the healthcare system. Ensure that the front office operations run smoothly and efficiently. Must possess superior customer service skills and professionalism, the ability to multitask, and be conscientious and compassionate to clients and staff. Must be highly motivated while working as part of a cohesive team in a fast-paced environment. Expected to protect sensitive information, comply with HIPAA at all times, and be able to maintain composure and professionalism during stressful situations.
About the Role:
Greet and check in patients upon arrival for appointments
Answer phone calls in a professional manner
Call insurance for prior authorization and copay information
Collect copayments and manage copayments in the office at the time of the visit
Guide patients through troubleshooting for telehealth appointments
Assist providers in administrative tasks - coordinate between patient and provider
Call in prescriptions to the pharmacy as needed (backup support to Prescriber Medical Assistant)
Schedule patient appointments and answer general questions
Maintain and update a Provider and the Clinician Roster in the office
Prepare patient files for providers
Medical records management (copies, scanning etc.)
Collaborate with other team members and locations to provide excellent customer service
Work collaboratively with the central intake team on “warm handoffs”
Potentially be trained in Transcranial Magnetic Stimulation (TMS)
Help train new team members as needed
Rotating evening shifts for administrative support
Responsible for cleanliness and appearance of the front waiting area and professionally patients in a professional manner through phone calls, emails, and face to face
Manage patient accounts, with contact information, insurance, and financial information in a confidential manner
Ensuring services comply with state and federal regulations
Must maintain a professional dress code at all times (business casual)

About You:
High school diploma or equivalent
Desire to do a thorough job in a fast-paced environment, must be detail oriented and highly organized and have strong time management skills
Ability to maintain a professional appearance and demeanor, and interface well with patients in a mental health setting required
Excellent communication skills (written and verbal) and ability to work well with, a team especially in stressful situations. Must possess strong phone etiquette skills.
Ability to work well under pressure
Computer skills, familiarity with Outlook
Maintain patient confidence and protect operations by keeping patient information confidential
Excellent customer service skills - patient focused
Creating a safe, productive work environment while adhering to practice policies and procedures
Previous experience with scheduling patients, answering phones, ordering and managing supplies
CPR certified or willing to become certified through an accredited program
Ability to complete other tasks as needed
Experience as a Medical Assistant
Experience in a Medical Office or call center, scheduling for multiple providers
Experience verifying insurance and obtaining authorizations
Familiarly with HIPAA regulations
Experience with EMR (electronic medical records) and medical terminology and a basic understanding of clinical pharmacology
Experience working with patients who are suffering from anxiety and depression is preferred
