  • Responsibilities

    The primary purpose of this position is to enable members of the University community to access library resources by creating and maintaining accurate records in the library’s integrated library system, Sierra, and the library’s journal locater system, Serials Solutions.  Records maintained are primarily bibliographic and holdings records, but include some maintenance of order records.  In addition to purchased materials, this position is responsible for materials being received through the Federal Depository Library Program (FDLP) hosted by the Government Publishing Office (GPO).

    As a designated selective depository library for U.S. Government publications, the library is required to have a staff person dedicated to providing records for those publications, processing the physical publication, and ensuring that adhere to rules for withdrawing said publications.  The person in this position does that work

     

    MAJOR RESPONSIBILITIES:

    • Receiving new materials for the library: searching for titles, entering the received data, checking for inaccuracies, copy cataloging LC MARC records, adding enhanced contents notes, preparing for processing/cataloging
    • Maintain the physical collection
    • Label, mark, shelve new materials, physically remove materials for withdrawal, transfer selected materials to ASRS
    • Perform in-house repairs
    • Manage newspaper collection daily
    • Refile flat maps after use
    • Maintain accurate holdings records in Sierra, Serials Solutions, and WorldCat for print and electronic materials. The collection is fluid; records must be updated with new receipts when materials are withdrawn or moved within the library
    • Manage external binding: Communicate re shipments, prepare/send materials according to their specifications and timetable, maintain records on the system, check materials upon return for quality control: final in-house processing
    • Maintain communication with the Indiana State Library regarding withdrawn government publications published before 1976.  Keep up with changes in state and federal guidelines for depository libraries
    • Due to the nature of Technical Service work, it is very common for amounts of time spent in certain areas to shift.  During summers and breaks, it is not uncommon for a higher percentage of time to be spent on special projects

     

    KNOWLEDGE AND SKILLS:

    • Two years of higher education/experience in an academic library
    • Basic PC skills
    • Knowledge of/willingness to learn skills related to software: OCLC Connexion, MARCIVE, ABLE, Serials Solutions, and the integrated library system Sierra
    • Basic knowledge/willingness to learn skills related to cataloging and standards including but not limited to: MARC, AARC2, RDA
    • Knowledge/willingness to learn the Government Printing Office (GPO) systems (SuDocs classification, Item record numbering), GPO regulations regarding depository libraries, Indiana’s Regional depository (Indiana State Library) policies and procedures for managing government publications
    • Ability to keep up with changes and learn new procedures 
    • Ability to manage time wisely, be flexible
    • Attention to detail, strong organizational abilities
    • Maintain a cooperative spirit, have good interpersonal skills, and dedication to patron services.

    • High School Diploma or GED equivalent
    • 1 to 3 years’ experience in call center operations and banking preferred

    • This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phone, photocopiers, filing cabinets and fax machines.
    • This position requires manual dexterity, the ability to lift files and open filing cabinets.
    • This position requires sitting, bending, stooping or standing as necessary.
