    GENERAL SUMMARY:

    Under the direction of the manager, Real Estate Financial Operations, coordinate the lease approval and documentation process for the State Teachers Retirement System of Ohio’s (STRS Ohio) real estate portfolio.  Coordinate the real estate tax bill processing for the real estate portfolio. 

     

     

    PRINCIPAL DUTIES AND RESPONSIBILITIES:

    1. Coordinate lease review process for STRS Ohio properties to include leases and other tenant-related documents. Prepare various internal analyses related to new and existing leases and prepare lease packages for asset manager approval and execution.
    2. Record and maintain leasing activity in leasing database.
    3. Review annual leasing budgets submitted by fee managers and partners to ensure budgeted activity is submitted within STRS Ohio leasing parameters. Enter leasing budgets into budget database and coordinate any changes. Review rent rolls against leasing budgets to ensure all expirations have been addressed.
    4. Coordinate the workflow of the real estate tax bills. Make entries into real estate tax system, including uploading of real estate tax bills and assessment notices; adding new properties and maintaining established properties; maintaining user access and ensuring accurate and timely workflow of real estate tax bills.
    5. Review and process expenditure approval forms and commission invoices submitted by joint venture partners and fee managers for lease related expenditures. Review and process expenditure approval forms relating to capital expenditures; including vendor verification and bid process.
    6. Review lease related documents (e.g. commission agreements,) landlord lien waivers and antenna/telecommunication agreements for asset manager approval and signature.
    7. Verify the accuracy and completeness of the rent rolls maintained by fee managers and partners for all assets.
    8. Review monthly lease expiration report, coordinate move-outs with fee managers and obtain tenant move-out documentation for non-renewing tenants.
    9. Coordinate, prepare and review real estate reports (property and portfolio-level leasing, leased/unoccupied report and internal leasing report.)
    10. Organize annual tenant survey process with outside vendor.
    11. Run the monthly occupancy procedures verifying the net rentable square footage and building occupancy for each property. Once verified, transfer occupancy information to the internal leasing report.
    12. Monitor all lease and tenant-related documents to SharePoint. Coordinate corrections with the real estate administrative assistant responsible for uploading the document.
    13. Conduct lease processing training including lease processing, STRS Ohio lease forms and reporting procedures.
    14. Collect tenant Letters of Credit (LOC) required in leases and determine if there are any LOC information updates with fee managers respective of any LOC expirations. Coordinate filing/uploading of actual LOCs and LOC information with real estate administrative assistant.
    15. Coordinate the collection of tenant insurance reports from fee managers on a quarterly and year-end basis. Review reports to ensure all certificates are up-to-date and all new tenant insurance information has been systematically added.
    16. Assist with other projects and activities as requested.

     

     

    KNOWLEDGE, SKILLS AND ABILITIES:

    1. High school diploma or equivalent required.
    2. Associates degree accounting, finance or business administration preferred.
    3. Three to five years’ experience in real estate leasing or related work experience preferred.
    4. Ability to read, analyze and respond to business correspondence; understand and analyze basic real estate leasing reports, including property-level operating budgets.
    5. Excellent mathematical skills required.
    6. Ability to manage multiple projects and priorities within guidelines required.
    7. Ability to work with and preserve confidential information required.
    8. Excellent oral and written communication skills required.
    9. Interpersonal skills necessary to deal effectively and courteously with internal and external contacts required.
    10. Excellent organizational skills and a high degree of accuracy and attention to detail required.
    11. Proven ability to operate Microsoft Office programs and standard office equipment required.
    12. Ability to work independently and in a team environment while meeting deadlines with minimal direct supervision required.
    13. Excellent work record of attendance, punctuality and the ability to maintain a flexible work schedule to meet business needs. Occasional evening, weekend and non-regular work hours may be required.

  • Qualifications
    1.  HIGH SCHOOL GRADUATE OR EQUIVALENT.
    2.  REGISTERED OR CERTIFIED MEDICAL ASSISTANT.
    3.  PREVIOUS PHYSICIAN OFFICE EXPERIENCE REQUIRED.
    4. PRACTICE MANAGEMENT SYSTEM AND EMR EXPERIENCE PREFERRED.
    5. PATIENT SCHEDULING DUTIES INCLUDING DEMOGRAPHIC ENTRY, INSURANCE VERIFICATION, AND HANDLING OF ALL FRONT DESK RESPONSIBILITIES.   MEDICAL ASSISTANT WILL ALSO ROOM PATIENTS, DOCUMENT IN EMR, HANDLE REFERRALS, PRESCRIPTION REFILLS, AND ASSIST PROVIDERS IN THE OFFICE
    6.  ABILITY TO COMPREHEND AND FOLLOW PRINCIPLES OF ASEPTIC TECHNIQUE.
    7.  ABILITY TO LEARN AND RETAIN DETAILED INFORMATION AND ACCURATELY DOCUMENT DATA COLLECTED FROM THE PATIENT.
    8.  EXCELLENT BASIC CLINICAL SKILLS IN DELIVERY OF CARE.
    9.  EXCELLENT INTERPERSONAL SKILLS AND ABILITY TO WORK WELL WITH PEOPLE PROJECTING A POSITIVE IMAGE FOR THE HOSPITAL.
