WHAT WILL YOU BE DOING?
As a Group Business Administrator / Project Coordinator, you will be managing the day to day support of 2 Directors and their high tech, fast paced global teams. You will bring your very highly organized, self-starting capabilities to provide a variety of tasks including, but not limited to:
- Calendar/Schedule/Task Management for Director Level (2) resources
- Group calendar management - set up and track/reschedule meetings (e.g., who has declined/accepted, reviewing proposed dates)
- Team site management, collecting and posting content - administration of team Microsoft Teams sites to include content storage and tracking and project team access
- Proactively managing distribution lists and security groups
- Action item collection and tracking including:
- Initiating communications with the client on a regular basis to report the status of activities/actions and clearly presenting detailed actions, priorities, blockers, and due dates
- Attending meetings, taking clear and concise notes, documenting clear actions items, and following through with team members to ensure items are closed out in a timely fashion
- Ensuring follow up and closeout with appropriate communications for all activities clients must be kept informed
- Timely reminders for key corporate activities
- Virtual Event planning/Morale Activities (locally and internationally)
- Independently and proactively work on one-off tasks required to support global teams
- Coordinate small projects, as requested requires identifying the scope of effort with the client, providing regular updates, escalating issues, and closing out all items appropriately and with the proper communications
- Travel and Expense - Provide support for travel arrangements and work visas
- Review and approve expense reports in accordance with Microsoft policy
- Collect and manipulate data in Excel, to include researching and evaluate supporting information.
- Liaise with internal staff at all levels, including providing research support regarding appropriate internal policy and procedures
- Proactively perform office management tasks such as ensuring supplies are ordered and stocked
WHAT YOU SHOULD BRING TO THE TABLE:
- Bachelor's degree preferred and at least 4+ years demonstrated Business Administrative experience in a fast-paced environment
- Requires experience in an Admin/Project Coordinator role at Microsoft and with key Microsoft internal tools/applications such as HeadTrax, MyOrder, MSExpense, MSTravel, and MSAuthorize
- Requires a highly organized individual with the flexibility to manage multiple priorities
- Experience managing MS Teams sites
- Highly skilled at activity tracking, understanding/obtaining prioritization, and the ability to effectively closeout and communicate activities to the client
- Must have a demonstrated ability to initiate communications/meetings with client(s) on a regular basis to report the status of deliverables and present reports demonstrating actions tracked, blockers, and due dates
- Must be pro-active and resourceful understand where and how to use internal training to ramp knowledge
- Must have strong experience with Microsoft Outlook, Excel, Word, OneNote, PowerPoint
- Excellent written and verbal communication and interpersonal skills
- Demonstrate a high level of integrity and the ability to handle confidential information appropriately
- Flexibility for early morning and/or late evening conference calls during the week to support a Global team
- Work collaboratively with administrative teammates within and outside the organization
- Must present a professional image in conduct, attitude, and attire
- Must be legally authorized to work in the United States without limitation
