    SUMMARY

    Responsible for the effective management and compliance of purchasing, accounting, credit/collections, IT and overall administrative requirements at the Division level. Manages the activities and performance outcomes of the office administration staff. Functions as a key liaison with the corporate office to implement, monitor or support company-wide programs from all functional areas of the organization. Serves as on-site HR liaison to support employee engagement strategies. 

    ESSENTIAL FUNCTIONS

    Provides daily supervision to the office administration staff and ensures job performance meets company requirements and behaviors are in alignment with the company’s culture of leadership.

    Ensures processes are in place to comply with federal, state and company requirements in the administration of pre-employment drug screens, criminal background checks and motor vehicle reports

    Secures the timely administration of the monthly random drug testing program to include obtaining release and communicating results.

    Monitors and enforces the collection and recording of Affirmative Action Plan hiring data.

    Ensures processes are in place to perform new hire orientations for new employees to cover company policies, procedures and employee benefits.

    Performs accounting and/or financial analysis as required.

    Oversees and manages the daily conversion of quotes to work orders.

    Monitors Oracle Dispatch Reports to capture and correct Truck Mounted Device job status’ that may impeded timely and accurate billing.

    Ensures Division has processes in place to generate accurate and timely billings to customers.

    Monitors credit & collection activities to ensure Division new account set up, DSO, lien, and credit memo guidelines are met.

    Implements and monitors procedures to ensure P-Card use is in compliance with Masco and company policies & procedures.

    Review and approves vendor invoices to verify validity of expense and proper general ledge coding. Obtains additional approvals based on company expense approval guidelines.

    Reports monthly safety statistics for OSHA 300 recordkeeping purposes.

    Manages or individually performs processes required to conduct accident investigations, employee interviews, complete workers compensation claims, coordinate with WC third party administrator, and monitor overall progress of WC claims.

    Manages or individually performs processes required to conduct vehicle accident investigations, employee interviews, complete vehicle accident claim forms, coordinate with Fleet third party administrator, and monitor overall progress of auto claim.

    Collaborates with Division Manager to ensure proper handling of General Liability claims to include completion of claim forms, collection of relevant documentation, and on-going coordination.

    Plans for and delivers Performance Evaluations, Corrective Action, and Performance Improvement Plans to direct reports.

    Functions as point of contact for corporate office to ensure proper employee new hire enrollment to benefit programs, administration of annual benefits open enrollment and launch of new benefit or wellness programs.

    Actively works with Regional Human Resources Manager to escalate and help resolve employee issues or complaints.

    Communicates with customers, employees, and other individuals to answer questions, disseminate or explain company information.

    Responsible for ensuring all business or employment related recordkeeping complies with company policies (personnel file, I-9’s, WC, Safety, PO’s, Invoices, A/P, A/R).

    Any other duty, task or responsibility as assigned.

    Budget Responsibility – Assists in planning, monitoring and/or managing budget in functional area of division/department.

    Independence of Action – Results are defined.  Sets own goals and determines how to accomplish results with some guidelines. Supervisor/manager provides broad guidance and overall direction.

    EDUCATION AND CERTIFICATIONS

    Minimum Degree:  Bachelor’s Degree or equivalent experience

    Special Certification or Licensing:  Upon employment:  Complete OSHA 300 Recordkeeping training; Complete I-9 Compliance training; Complete Wage & Hour Compliance training.

    Special Requirements:  Need to work overtime and weekends as required.

    EXPERIENCE

    Minimum experience: 3+ years office management and/or supervisor experience

    Required Industry Experience (Construction, Insulation, Trades, etc.):   NA

    Legal Age Requirements:  At least 18 years of age

    Must be detail oriented, excellent communicator, highly organized and  work effectively with minimal supervision.

    REQUIRED SKILLS

    Excellent analytical and problem solving skills.

    Strong attention to detail, demonstrated integrity and professionalism.

    Excellent communication skills, both written and verbal.

    Must have excellent mathematical skills including the ability to perform complex calculations.

    Proficient in Office Software like word processing, spreadsheets and presentation software.

    Capable of compiling professional presentations for the Division Manager.

    Knowledge of a database tool like Access is a plus.

    Knowledge of ERP Systems required.

    Requires self-management and project management ability.
