PRIMARY RESPONSIBILITIES
Provide daily administrative support for personal and business needs to the company president.
Schedule meetings with accuracy via Outlook.
Manage calendar, send follow-up meeting reminders and help ensure materials are ready.
Book travel and transport with accuracy.
Book company retreats including hotel accommodations, transportation, and MET.
Manage phone calls for the president, facilitate inquiries and respond in a timely manner (same-day responses).
Help with personal/business errands: Holiday shopping, thank you gifts and notecards, staff, and client recognition.
Draft and send emails to vendors, contacts, and affiliates to continue momentum and dialog.
Regularly upkeep office organization.
Conduct research for client and business needs.
Oversees on-site office needs, including:
Maintaining office efficiencies by planning and implementing office systems, layouts, and equipment procurement.
Maintain a system of recording and tracking office assets.
QUALIFICATIONS
Enjoys moving quickly while maintaining attention to detail.
Strong communicator; consistently provides project updates quickly and succinctly.
Problem-solver; ability to make good decisions on behalf of the president.
Technically astute and competent in Microsoft Office programs i.e., Outlook, Word, Excel, Teams.
Process-oriented; uses systems to manage deliverables and complete tasks on time.
Proactive and takes initiative: comfortable checking in with leadership and peers.
Prompt and reliable, ability to work late hours and respond on weekends, as needed.
