    Operations Administrator

    As an Operat ions Administrator, y ou're focused on enhancing both the team and client experience. You will play a pivotal role in ensuring seamless operations and satisfaction. Your responsibilities will encompass a range of tasks, from scheduling resources to project coordination. Your adeptness in managing various moving parts and your proactive attitude will contribute to the overall success of our team.

    Primary Responsibilities:

    • Prepare supporting time reports for payroll
    • Prepare supporting time reports for payroll
    • Provide operational support to the account services team:
    • Build and publish shift schedules (monthly and quarterly)
    • Review and approve agency time entry records and PTO
    • Process and remit payment for contractor invoices
    • Assist with the development of client and agency presentations
    • Provide administrative support to client needs
    • Ensure successful onboard process and orientation of new hires
    • Support agency management when exiting staff
    • Support company & client budgeting and financial reporting:
    • Create and review client-ready scopes of work as needed
    • Compile biweekly, monthly, quarterly, and annual financial reports in support of the operations manager
    • Report on usability and scope absorption
    • Analyze reports and processes to ensure effective and efficient delivery of services
    • Maintain processes and procedures, including but not limited to:
    • Ensure accurate record keeping to company's record-keeping including retention, protection, retrieval, transfer, and disposal of records
    • Collaborate closely with account managers and teams to ensure an excellent client experience

    Qualifications:

    • High attention to detail and accuracy, proactive communicator, and technically astute
    • Successfully prepare reports, coordinate resources and manage communications
    • Expertise in Microsoft Excel, Outlook & Teams
    • 1-3 years of administrative or project management experience
    • Professional communication skills, both verbal and written (email, social media)
