  • Responsibilities

    Clinical Duties

    Exhibit stellar customer service and professionalism to both internal/external patients.

    Schedule appointments for all office departments.

    Operate multi-line phone system – direct calls, take messages and relay appropriately and timely.

    Verify the appropriate patient insurance and update demographics.

    Read and respond to messages/emails professionally and timely.

    Check-in patients. Confirm patient accounts are accurate and current.

    Decrement all referrals in system as required per appointment type/insurance type.

    Ensure cleanliness and tidiness for the front lobby and office area.

    Collect co-pays and payments.

    Balance daily credit cards and monies at the end of each day.

    Process point of sales.

    Call referrals to schedule appointments and consults daily.

    Scan documents.

    Fill coffee/water machines with water, make sure these are full at all times.

    Gather dirty dishes, load/run dishwasher. Unload the dishwasher each morning.

    Opening and closing the practice.

    Cross-train for all front office positions; check-in, check out, and insurance verification/precertification.

    Complete all medical records requests (faxing documents when possible).

    Send invoice, after payments received send records

    Collect mail from the outside mailbox.

    Verify that all inbound faxes have been addressed and sent to appropriate staff.

    Verify all outbound faxes have completed.

    Ability to work in a fast-paced environment professionally and effectively.

    Call all New Patients and Procedures one day prior to the appointment to confirm.

    Confirm all New Patient documents/records have been received.

    Answer inquiries and educate patients under provider’s guidance/recommendation only.

    Have knowledge of the practice services as provided by various providers.

    Know fire Extinguishers locations and how to use them (PASS).

    Know Fire Safety Plan: Evacuation routes, procedures, and using contact list (located in nurse’s binder).

    Remain current on all OSHA & MSDS training.

    Continue education and personal growth to maintain all registrations, licensures, and certifications.

    Attend team meetings and health fairs to promote the company as needed.

    Triage calls effectively and with empathy.

    Follow phone procedures in a courteous manner.

    Flexible adapts to change positively.

    Presents a consistent willingness to learn new skills and a positive demeanor with both patients and co-workers.

    Handle complaints in a timely and professional manner. Always ensuring that the practice manager is aware.

    Take breaks/lunch appropriately and with thorough communication. Breaks are to be encouraged, however, business/staffing needs to prevail. Flexibility is necessary.

    Create unity within your TEAM! Individual performance is necessary. TEAM performance is paramount.

    Be a TEAM player. A team player is an employee that can be counted on to do his/her job, be relied on the complete tasks, work cooperatively with others. Each team member makes a point to treat each member of the team with respect no matter what personal matters or office politics are between them. Everyone must operate as team players to get the job done!

    Computer Skills:

    To perform this job successfully, an individual should have knowledge of Microsoft Office suite and order processing system.

    Educations/Experience:

    1-year experience preferred.
