    We are looking for a TRAFFIC & CREATIVE ACCOUNT COORDINATOR. In this position you will provide assistance to the associate director of design operations in day-to-day communication with project requestors and is responsible for the internal scheduling of work throughout the agency.  You will assist in opening all jobs entering the department and assigning a step-by-step schedule of completion to each of those jobs as it is entered. Under the direction of the design operations leader, you will interface with various departments to move projects along on behalf of the team and project requestors, seeking answers to questions on behalf of both parties. You will also update and post an internal status report of all active jobs in the design center, assigning a status to each job.

     

    KEY ACCOUNTABILITIES:

    • Assists design operations leader in making sure all projects proceed according to plan and deadlines, drawing attention to potential problems before they occur. Reports any problems affecting job quality, due dates and scope to design operations leader.
    • Gathers and assembles background information needed by creative leadership to begin project kickoff. Maintains digital files on all requestor activity; maintains reference of any correspondence, approvals, copy, forms or documents for daily processing and tracking of creative service work.
    • Reviews work schedule with design center staff through daily standups. Revises schedules and distributes a “Hot Sheet,” outlining the most pressing jobs for the week, current project status, and any barriers to project completion, at weekly EDGE leadership team meeting. Provides weekly status updates to broader requestor pool as appropriate. Expedites all “crisis jobs.” Successfully negotiates majority of requests flowing through the department to be delivered on a reasonable, scheduled basis.
    • Provides administrative assistance to operations leader on day-to-day client activities, including responding to client phone calls and emails to ensure continued progress of creative workflow. On top priority projects, takes minutes at meetings, prepares and distributes agendas, etc.
    • Works with design operations leader and creative director in selecting vendors for new fulfillment, based on budget, timing, capabilities, etc. Assists in procuring estimates for work, creating specifications for vendors, and communicating our clear handoff to our print & fulfillment center when necessary.
    • Obtains quotes from art and photo suppliers, freelancers, other vendors as required by executive creative director. Researches specialty items for experiential events to support the design team. Issues purchase orders to vendors as needed.

     

    REQUIREMENTS:

    • Associates Degree or 3+ years of relevant experience required, Bachelor's preferred.
    • Efficient, organized, collaborative, and proactive – able to juggle many priorities and rightly prioritizes their and other’s work accordingly required.
    • Demonstrated traffic and account coordination experience, process-oriented, with a penchant for design operations excellence required.
    • Ability to communicate effectively with creative team, design leaders and project requestors required.
    • Design acumen: has working knowledge of the creative industry, knows the flow of design projects and tasks, and resources needed to complete the request required.
    • Experience using project management methods and tools required.
    • Experience supervising creative projects to successful completion utilizing a team of varied design resources required.
    • Accountable, strong budgeting and planning skills required.
    • Strong interpersonal skills as well as cross-functional team leadership required.
    • Strong oral and written communication skills for providing status updates, issues and questions required.
    • Agile and waterfall project management experience preferred.
    • Experience working with print and promotional vendors, as well as freelance and agency talent preferred.
    • Working knowledge of design team software (ie: Adobe Creative Suite) preferred.
    • Specific experience using workamajig & azure preferred.
