    Summary: The individual in this full-time position will be instrumental in coordinating Truth Be Told events in the prison system and in the community. In collaboration with the executive director (ED) and program director (PD), the program coordinator will engage with volunteers, donors, program graduates and the community at large to help build organizational capacity and deepen program impact.

    RESPONSIBILITIES

    Program Coordination

    Work with PD and correctional facility staff to keep programs running smoothly and effectively.

    Work closely with PD on methods to track program data (participation and outcomes) for internal and external reporting.

    Complete paperwork and volunteer clearance for each facility.

    Confirm and manage classroom and event space at each facility.

    Submit food and donation forms for program events.

    Procure and distribute supplies for programs at all facilities.

    Print and distribute classroom handouts to facilitators.

    Manage the printing and distribution of graduation materials, including name tags, graduation certificates, and programs.

    Manage volunteer logistics and data collection.

    Assist PD with production of program-based creative writing publications.

    Attend program events as a Truth Be Told representative.

    Coordination of Beyond Bars Programs

    Manage graduate data, including regular check-ins, in Salesforce.

    Serve as a point of contact for graduates who are no longer incarcerated.

    Organize graduate travel, schedules, and reimbursement for events.

    Send quilts to graduates on their three-year anniversary of releasing from prison.

    Serve as an administrator of the private Facebook group for graduates and regularly engage with our beyond bars graduate community.

    Coordinate facilitation of and occasionally participate in graduate support calls.

    Work with PD on event management for Beyond Bars gatherings, including securing location, food and drink, and training materials.

    Operational Coordination

    Support ED in preparing thank-you cards, donor receipts, and periodic/planned donor communications.

    Assist ED in coordinating fundraisers and community-building events, to include site selection, securing in-kind donations, design of program and space, recruiting/managing volunteer help, and day-of support.

    Engage with Truth Be Told’s social media platforms to raise the visibility of our mission and work, especially during online fundraising campaigns.

    Attend community events as needed to build relationships that support our mission and work.

    Volunteer Management

    Manage volunteer data in Salesforce (including personal information, Texas Department of Criminal Justice volunteer status, number of graduation visits, release dates if applicable, and volunteer interest).

    Manage inquiries regarding volunteer opportunities.

    Secure space and materials for volunteer trainings.

    Assist PD in planning training agendas and securing facilitators.

    Assist PD in managing training and program calendars.

    Track training data and outcomes.

    General

    Represent Truth Be Told with integrity, tact, responsiveness, sensitivity and courtesy.

    Required Qualifications

    2-plus years of working in nonprofit programs environment.

    Exceptional attention to detail and proven project management skills.

    Demonstrated experience in event planning.

    Demonstrated experience working with volunteers.

    Strong ability to take initiative and independently find solutions.

    Excellent verbal, written, and interpersonal communication.

    Ability to handle confidential information with sensitivity and integrity.

    A commitment to and passion for Truth Be Told’s mission.

    Proficiency in Microsoft Office Suite.

    Reliable personal transportation, mobile phone and computer with Internet access.

    Preferred Qualifications

    3-5 years of working in nonprofit programs environment.

    Bachelor’s degree in a relevant field.

    Proficiency in Salesforce, Microsoft Office Suite, WordPress, Mailchimp, and social media platforms.

    Knowledge of best practices in fundraising strategy and donor stewardship.

    Knowledge of and experience in trauma-informed/responsive work.

    Experience in restorative dialogue and/or mediation practices.

    Justice-involved individuals (people previously incarcerated, directly or indirectly impacted by the criminal justice system) strongly encouraged to apply.
