Job Description

Proposal Writers demonstrate experience in responding to bids and maintaining a content management solution, exhibiting strong organizational and written communication skills.

Proposal Writers are responsible for optimizing the content repository structure. This role works with stakeholders and Subject Matter Experts (SMEs) to maintain and expand a database of pre-written content and a library of reusable RFP/Tender components, templates and processes documentation.

Proposal Writers exhibit excellent time management, collaboration and communication skills along with experience in project and content management with strong focus on attention to detail. Proposal Writers are well organized, enjoy planning, executing the plan and controlling the progress, and hold the ability to be flexible to reprioritize based on relevant business requirements. Those in the Proposal Writer role must be results oriented with a drive for excellence. The role will mainly engage internally with subject matter experts from product, product marketing, infrastructure, legal, sales and other teams but may also require some engagement with customers or prospects if required.

Key Responsibilities and Outputs

Proposal Management:

• Manage the end to end process for RFPs, Procurement Questionnaires and other similar documents
• Execute an intake process for RFPs/Tenders with Go-to-Market (GTM) stakeholders
• Understand the requirements of the RFP/Tender and create a project plan to see the project to completion
• Drive each contributor to timelines and ensure completion of the proposal
• Utilize the content repository to complete the response where there are gaps in the available content, engage appropriate stakeholders to create the response
• Support the production of the proposal and other related customer-facing documentation
• Ensure proposal documents follow standard company formatting and quality standards (consistent branding for all company specific documents)

Content Management:

• Provide input into the design of the content repository structure
• Continue to optimize the repository structure to ensure ease of access, security and data integrity
• Work with internal stakeholders to maintain available master documents sets including templates, pre-written responses
• Proactively develop and manage a network of subject matter experts (SMEs)
• Consolidate information provided by SMEs to edit it into a defined style, tone of voice, ensuring that it is clearly articulated and easy to integrate into a proposal
• Scheduling regular reviews of the content repository to identify areas that need to be updated / expanded

Product Knowledge:

• Maintain knowledge of our product set and understand the value proposition provide to our customers
• Understand how our products fall into the marketplace and with competitors

Qualifications

Essential

• 2+ years experience as a bid writer, tender coordinator, or an equivalent combination of education and experience to successfully perform the key responsibilities of the job
• Organizational skills including accuracy, timeliness and detail oriented with the ability to work well while managing multiple activities and meeting established goals
• Excellent writing, editing and reviewing skills
• Excellent English communication skills (both written and verbal)
• Understanding of tender processes
• Proficiency in Google Workspace (docs, sheets, slides) and Microsoft Office (Word, Excel)
• Higher Education level, or equivalent experience
• Ability to work local hours for North and South America

Preferred

• At least 2 years experience working with various departmental streams including Sales, Managers, Technical, Developers and Administrative staff
• Experience in Enterprise software/SaaS
• Multiple language knowledge (Spanish desired)

Additional Information

The expected annual base salary range for this position is: $69,843/year to $89,799/year. This position is bonus eligible / commission-based. As a Remote-First company, actual compensation will be provided in writing at the time of offer, if extended, and is determined by work location and a range of other relevant factors, including but not limited to: experience, skills, degrees, licensures, certifications, and other job-related factors. Internal equity, market and organizational factors are also considered.
