Job Summary: The Safety Administrator is responsible for ensuring the physical safety of the staff and clients of the practice. ... Ensure all employees are aware of their responsibility for workplace health and safety. Keep up to date with changes in health and safety legislation. This position also is responsible for identifying, selecting and facilitating the acquisition of required materials and services. This should be accomplished by considering the most reasonable cost possible, with acceptance of Jacob Holm/TWIG America standards of quality and service in a timely manner, while utilizing professional conduct and industry approved methods. Assists HR with miscellaneous duties. Major Accountabilities: * Providing safety guidance and training to associates * Reviewing, identifying and tracking hazardous material storage, handling, shipping and transportation * Ensuring the compliance of the hazard communication standard, including Safety Data Sheets * Assisting in the design, roll out and instruction of regulatory training classes * Reviewing incidents and violations * Tracking compliance and recommending countermeasures and corrective actions for USDOT and CSA * Assisting in safety and compliance investigations as necessary * Purchase supplies, spare parts, services for maintenance team via Purchase Requisitions from Maintenance, Production, Quality, Warehouse, etc. * Purchase, inventory, store, and distribute office supplies * Answer phone calls to the plant and open and distribute mail daily. * Assist visitors with contract badges and insure new visitor paperwork is filled out * Expedite orders * Resolve quantity, quality, and/or price discrepancies with vendors * Review and monitor expiration dates on Certificate of Liabilities (contracts) * Confers with vendors to obtain product or service information, such as quotes, price, delivery, and quality * Maintain vendor relationships * Maintain Approved Supplier List and Vendor Scorecards * Discuss defective or unacceptable goods/services with vendors, and determine corrective action. * Create vendor and material data information into SAP * Monitor and resolve past due Purchase Orders * Any other duties as assigned along with assisting in some admin HR duties. . Knowledge, Skills and Abilities * High school diploma or GED equivalent with at least 3-5 years of office experience, or associates degree in business administration and 1 year of office experience. Purchasing & Safety experience is a requirement. * Excellent communication skills, both verbal and written. * Demonstrated supplier management and negotiating skills. * Excellent math skills. * Must be proficient in Microsoft Word, Excel, and Outlook. SAP experience helpful. * Must have knowledge of business and management principles, office administrative procedures and knowledge of use and operation of standard office equipment, at a level generally acquired through 2 years related experience. * Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy. * Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work. * Work requires continual attention to detail in composing, typing proofing materials, establishing priorities, and meeting deadlines. * Ability to deal with interruptions, and respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work as necessary. Must be able to deal with frequent changes, delays, or unexpected events, and work in a fast paced environment. * Consistently work in a positive and cooperative manner with fellow team members.
