    ALUMNI RELATIONS ADMINISTRATIVE AND EVENT COORDINATOR

    ADVANCEMENT

    CLASSIFICATION: Level 2 / Class Code 2020 / Full Time / Non-Exempt / Represented / Benefited

    HIRING SALARY RANGE: $25 - $30 / hour

    THE ROLE

    The Alumni Relations Administrative and Event Coordinator serves as the primary administrative coordinator for two volunteer boards, UC Hastings Foundation and Alumni Association, does event coordination for the department and will work on administrative tasks for the comprehensive campaign. The Coordinator reports directly to the Executive Director of the UC Hastings Alumni Association. This individual will have daily contact with our board members and is expected to interact professionally, diplomatically, and confidentially with constituents. The Coordinator will also liaise with the Chancellor and Dean's Office and other members of the Advancement team on projects on an as-needed basis such as signature events and prospecting reports.

    RESPONSIBILITIES

    Typical duties and responsibilities consist of, but are not limited to, the following:

    BOARD DUTIES 40%

    • Provides a range of administrative support for the Advancement's two boards (UC Hastings Foundation and Alumni Association) as outlined by staff liaisons.
    • Coordinates and arranges board conferences/meetings, board committee meetings, and teleconferences.
    • Provides a range of administrative assistance and coordination for the alumni Board of Trustees and the alumni Board of Governors; and serves as liaison and coordinator for Board activities and requests.
    • Reviews, prepares, and files agendas and minutes for all Board meetings.
    • Writes, edits, and proofs correspondence and Board materials, including Board packets and mailings.

    ALUMNI ENGAGEMENT DUTIES 30%

    • Assists with donor and alumni cultivation and engagement events to include reunion, board meetings, and chapter/affinity group activities.
    • Greets and assists students, faculty, staff, alumni, and a diverse external population, in person and by telephone and email, in a courteous, professional, and friendly manner.
    • Coordinates with Communications and Advancement office, social media postings based on the strategic editorial calendar.
    • Oversees event coordination for Advancement department to include securing event space, event day logistics (nametags, event overview, setup and break down), RSVP management, and website calendar.

    ADVANCEMENT DUTIES 30%

    • Utilizes Raisers Edge, Luminate, iContact, and other database programs and search engines to research and write donor briefings for Fundraisers.
    • Prepares donor reports and itineraries for the Chief Development Officer and relevant parties.
    • Arranges travel and calendaring for Chief Development Officer.
    • Serves as the lead administrative support staff for the upcoming comprehensive campaign.
    • Performs other related duties and responsibilities that may be assigned.

    REQUIREMENTS

    EDUCATION AND EXPERIENCE

    • Bachelor's degree preferred
    • Must have at least two years of administrative work experience preferably with some experience managing volunteer boards for a nonprofit institution

    KNOWLEDGE, SKILLS & ABILITIES

    • Must be able to communicate effectively both orally and in writing, and represent the office in a highly professional, pleasant, and efficient manner.
    • Strong writing and proofreading skills in the areas of grammar, punctuation, format, and style.
    • Superior organizational skills necessary.
    • Highly efficient, able to track multiple projects in order to coordinate necessary follow up with limited supervision.
    • Demonstrated ability to prioritize, exercise initiative, perseverance, and sound judgment.
    • Strong attention to detail with a goal of achieving high-quality accuracy in work.
    • Demonstrated ability to work independently and complete work with limited supervision and training.
    • Must be able to effectively execute numerous projects in a very high-pressure, extremely fast-paced work environment. The Advancement office is a critical department for the school and staff members are expected to be proactive, highly customer-service oriented, and provide timely follow up.
    • Ability to interact diplomatically with diverse groups.
    • A positive, gracious, can-do attitude, and ability to remain focused and calm in the midst of changing priorities and deadlines is a must.
    • Able to deal with frequent interruptions and work effectively and harmoniously in an open    office environment.
    • Must have a strong aptitude for learning new skills quickly and in depth.
    • Must be proficient in Microsoft Word, Excel, PowerPoint, data entry, and online applications.
    • Basic understanding of relational databases needed, experience in Raiser's Edge preferred.
    • Must be available to attend occasional evening events and work at board meetings, which are scheduled on weekends.
