    ALUMNI RELATIONS COORDINATOR

    OFFICE OF ADVANCEMENT

    CLASSIFICATION: Level 2 / Class Code 1660/ Full-Time / Non-Exempt / Benefited / Confidential

    HIRING SALARY RANGE: $26.44 - $31.25 hourly (commensurate with qualifications) 

    THE ROLE

    The Alumni Relations Coordinator serves as the primary administrative coordinator for the UC Hastings Foundation and the Alumni Association boards and works closely with the General Counsel's Office on matters related to the school's governing Board of Directors. This individual will have daily contact with our board members and alumni, and he/she is expected to interact professionally, diplomatically, and confidentiality with constituents. The Coordinator will also work closely with the Chancellor and Dean's Office and other members of the Advancement team on projects on an as-needed basis. This individual is also responsible for researching, providing, and coordinating all alumni donor briefing requests made by members of the fundraising team.

    RESPONSIBILITIES

    Typical duties and responsibilities consist of, but are not limited to, the following:

    BOARD DUTIES

    • Provides a range of administrative coordination for the College's three boards (the governing Board of Directors, UC Hastings Foundation, and Alumni Association).
    • Coordinates and arranges board conferences/meetings, board committee meetings, and teleconferences.
    • Provides a range of administrative assistance and coordination for the alumni Board of Trustees and the alumni Board of Governors; and serves as liaison and coordinator for Board activities and requests.
    • Prepares and coordinates Board fiscal reports.
    • Reviews, prepares, and files agendas and minutes for all Board meetings.
    • Writes, edits, and proofs correspondence and Board materials, including Board packets and mailings.

    ALUMNI ENGAGEMENT DUTIES

    • Assists with donor and alumni cultivation and engagement events to include reunion, board meetings, and other Bay Area activities.
    • Greets and assists students, faculty, staff, alumni, and a diverse external population, in person and by telephone, in a courteous, professional, and friendly manner.
    • Supports the Chief Development Officer in his/her college wide administrative responsibilities.
    • Maintains general office policies and procedures, including document management and filing folders on the shared network

    ADVANCEMENT DUTIES

    • Utilizes Raisers Edge, Lexis Nexis, and other database programs and search engines to research and write donor briefings.
    • Prepares donor reports and itineraries for the Chief Development Officer and relevant parties.
    • Coordinates all research projects and briefings and reports on the status of projects.
    • Performs other related duties and responsibilities that may be assigned.

    REQUIREMENTS

    EDUCATION AND EXPERIENCE

    • Bachelor's degree
    • Must have at least one year of experience managing volunteer boards for a nonprofit institution and at least two years of related administrative work experience, or appropriate experience that will result in the successful performance of the foregoing responsibilities.

    KNOWLEDGE, SKILLS & ABILITIES

    • Must be able to communicate effectively both orally and in writing, and represent the office in a highly professional, pleasant, and efficient manner.
    • Strong writing and proofreading skills in the areas of grammar, punctuation, format, and style.
    • Superior organizational skills necessary.
    • Highly efficient, able to track multiple projects in order to coordinate necessary follow up with limited supervision.
    • Demonstrated ability to prioritize, exercise initiative, perseverance, and sound judgment.
    • Strong attention to detail with a goal of achieving high-quality accuracy in work.
    • Demonstrated ability to work independently and complete work with limited supervision and training.
    • Must be able to effectively execute numerous projects in a very high-pressure, extremely fast-paced work environment. The Advancement office is a critical department for the school and staff members are expected to be proactive, highly customer-service oriented, and provide timely follow up.
    • Ability to interact diplomatically with diverse groups.
    • A positive, gracious, can-do attitude, and ability to remain focused and calm in the midst of changing priorities and deadlines is a must.
    • Able to deal with frequent interruptions and work effectively and harmoniously in an open    office environment.
    • Must have a strong aptitude for learning new skills quickly and in depth.
    • Must be proficient in Microsoft Word, Excel, PowerPoint, data entry, and online applications.
    • Basic understanding of relational databases needed, experience in Raiser's Edge preferred.
    • Must be available to attend occasional evening events and work at board meetings, which are scheduled on weekends.
