ABOUT THE RECORDS OFFICE
The Records Office is the College's registrar's office and is responsible for maintaining students' records, grades and transcripts, manage registration, exams and grades, and provide academic-related services, information and student data to various departments within College with the highest level of integrity and according to FERPA, Federal, state and the College's regulations. To do so, the office utilizes a variety of software systems including Ellucian College and Self-Service, Entrinsik Informer, ExamSoft and others. The department employs administrative and professional staff, is supervised by the Registrar who in turn is a direct report to the Academic Dean of the College.
THE ROLE AND RESPONSIBILITIES
The Programmer Analyst and Database Administrator (PADA) is a link between Records - the data ‘owner' of Colleague - and Information Technology (IT), and thus reports to the Registrar and the Associate Dean for the UC Hastings Library and Technology, Information Technology and Library. Within the Records Office, PADA works closely with the Registrar and Associate Registrars; together, their work ensures the day-to-day business operations of the Records Office are seamless and efficient. Additionally, the PADA works closely with the IT department to support vendor-supplied, open source, and in-house developed software as it relates to Records functionality. Finally, the PADA serves as the user liaison between the departments, facilitating knowledge, needs, a communication, and identifying solutions. The Records office is modernizing the department and are thus looking for someone who can assist with data cleanup, instituting data input and security standards and user training, and finding software solutions or writing program processes to improve operations within the Records office and the IT department and between all departments as they related to all Colleague modules and Records processes.
Responsibilities include all tasks necessary to support the College's student information needs and the Record's Office software especially pertaining to Ellucian Colleague, including but not limited to:
The PADA leads software implementation decisions, representing and clearly articulating the Record's office needs and expectations, coordinating with IT throughout implementation processes and during maintenance periods. This individual will assist IT & Records staff to promote and publicize new technology resources that pertain to Records services to faculty, staff, and students. To do so, this individual will need to fully understand the application software, code files, parameters, and data files for their areas. They will become a strong user of query language and will produce many of the reports the office regularly needs or provides to faculty or staff. To be successful, the PADA will need to learn:
To facilitate this understanding, the PADA will perform a small portion of regular work (related to registration, exams, grading, etc.) and may sit with other users in their work environment to observe and become familiar with system processes, timelines, and procedures and pain-points.

EDUCATION AND EXPERIENCE
KNOWLEDGE, SKILLS & ABILITIES
Ability and strong desire to understand the end-user experience, their processes and their needs by establishing relationships and speaking with the end-users.
Demonstrated ability to translate complicated technical analysis and information to non-technical end-user audience and vice versa.
Must have an investigative mindset and an intrinsic desire for ensuring the quality of the data. Must be customer service focused, a pro-active communicator, and solution oriented.
Ability to exhibit a manner of professional behavior that will promote positive interactions between faculty, staff, students, and external clients, and enhance the public image of the College.
Ability to think logically, learn and troubleshoot software applications and integrate them with existing systems.
Must be a self-starter, work independently, as well as function effectively in a team within a diverse group of people.
Ability to follow through on multiple, concurrent projects with minimal direction, setting priorities that accurately reflect the relative importance of the job responsibilities, while meeting strict deadlines;
Advanced skills in Microsoft Office Suite, Adobe PDF, and highly adept Excel skills;
Exercise independent judgement in complex and new situations.
Exemplary interpersonal, oral, and written communication skills.
Detail-oriented and willing to work in a fast-paced, changing environment.
