    COMMUNITY JUSTICE CLINICS

    CLASSIFICATION: Level 1 / Class 1640 / Full-Time / Non-Exempt / Benefited / Represented

    HIRING SALARY RANGE: $19.00 - $30.00 / hour

    THE ROLE AND RESPONSIBILITIES

    Under the supervision of the Associate Dean for Experiential Learning, the legal secretary/receptionist, who must be fluent in English and Spanish, performs a wide range of legal administrative and receptionist duties of a multi-dimensional nature.

    Typical duties and responsibilities consist of, but are not limited to, the following:

    • Acts as the principal receptionist for the office, welcoming clients and visitors, screening calls, providing relevant information, making referrals, conveying messages and assisting students, staff, and faculty in a variety of ways;
    • Handles incoming and outgoing mail and faxes, including copying/scanning, logging, and distributing;
    • Assists students with creating and signing proofs of service of outgoing documents;
    • Serves as English/Spanish interpreter for telephone conversations, meetings, and legal proceedings and as a translator of written communications;
    • Word processes legal documents, correspondence, and other materials and assists students with formatting of documents;
    • Tracks and tabulates students' entry of time records and updates their supervisors weekly;
    • Drafts and proofreads administrative correspondence;
    • Organizes and updates library materials;
    • Maintains physical and electronic records and files;
    • Copies/scans and collates case, course, and other materials;
    • Assists in developing and posting promotional pamphlets, flyers, and posters;
    • Schedules use of clinic facilities;
    • Maintains multi-function printer/copier/scanners;
    • Cleans and tidies student work stations and other common areas, and turns off computers at the end of the day;
    • Provides logistical support for Clinic events;
    • Provides first-level trouble-shooting of CJC computers and equipment and notifies IT department of service needs;
    • Performs related duties as assigned.

    REQUIREMENTS

    EDUCATION AND EXPERIENCE

    • High school diploma required, Bachelor's degree preferred;
    • At least 6 months of administrative work experience, preferably in a legal office;

    KNOWLEDGE, SKILLS & ABILITIES

    • Written and oral fluency in English and Spanish required;

    • Familiar with legal forms, documents, terminology, and law office procedures preferred;

    • Strong written and oral communication skills;

    • Able to prepare and proofread legal documents and correspondence preferred;

    • Demonstrated organization skills to manage multiple projects and deadlines;

    • Working knowledge and experience with Microsoft Office (Word, Excel, and PowerPoint);

    • Exercise judgement in dealing with sensitive matters

    • Strong work ethic and attention to detail.
