    STUDENT SERVICES  

    CLASSIFICATION: Level 2 / Class Code 2046 / Full Time / Non-Exempt / Benefited / Represented

    HIRING SALARY RANGE: $50,979 – 60,250, commensurate with experience

    THE ROLE & RESPONSIBILITIES

    Under the direct supervision of the Director of Student Services, the Student Services Program Coordinator provides a broad range of administrative, customer service, and event planning support to the Office of Student Services. The successful candidate will have excellent interpersonal, customer service, and communication skills; proficiency in designing visual communications; experience in planning and executing events; and a desire to learn. The successful candidate should also be comfortable working independently and as part of a team in a fast-paced and bustling environment.

    Typical duties include, among others:

    • Serve as the first point of contact for visitors entering the Office of Student Services.  This includes creating a welcoming atmosphere by greeting and answering questions for visitors, students, staff, and faculty via telephone, email, and in-person;
    • Serve as the lead for all visual communications and branding for the department, including the creation of flyers and brochures, and maintaining and updating Internet and Intranet webpages and the Student Services bulletin board;
    • Serve as the lead for curating, creating, and publishing The Weekly, a weekly internal digital publication that includes the College's announcements, events, and important information;
    • Provide administrative assistance and support to Student Services team members as necessary, including preparing presentations, reports, and online surveys;
    • Maintain the overall organization and tidiness of the Student Services office, including making facilities requests; ensuring the working order of equipment and appliances; and ordering office supplies and event materials when necessary;
    • Assist with the planning and execution of large and small-scale student events, including Orientation, Commencement, training conferences for students, and Student Services events. This includes setting up, ordering supplies, providing administrative support during the event, and cleaning up;
    • Maintain and organize the calendar and schedule for the office, including using Outlook and other scheduling software, for all Student Services team members as necessary;
    • Assist with budgeting including invoices and requisitions;
    • Manage room reservations for the Office of Student Services and student organizations;
    • Assign student lockers;
    • Produce the 1L Student Directory and assists with creation of other Student Services guides and printed materials;
    • Collect, input, and track survey, attendance, and other data in Microsoft Excel;
    • Be knowledgeable about College policies and procedures;
    • Maintain confidentiality and security of student records and comply with various laws including but not limited to FERPA and UC Hastings privacy rules; and
    • Perform miscellaneous duties as necessary to assist with the smooth functioning of the office, its programs, and other duties as assigned.

    REQUIREMENTS

    EDUCATION AND EXPERIENCE

    • Two year Associates degree or the equivalent work experience;
    • Bachelor's Degree preferred;
    • Minimum two years of administrative work experience, preferably in a legal or academic environment;
    • Experience providing customer service; planning and executing large or smaller events; using technology to update webpages; and creating visually appealing marketing materials.

    • Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all backgrounds;
    • Excellent administrative and office support skills, customer service and interpersonal communication skills, and written communication skills;
    • Proven ability to work effectively both independently and as part of a team;
    • Ability to use computer applications and technology related to the work, including Microsoft Office Suite, including Publisher, Canva and other software applications;
    • Ability to learn quickly and work quickly and meet multiple deadlines effectively;
    • Ability to be proactive, creative, and solutions-oriented;
    • Ability to execute physical activities required to perform essential job functions including, but not limited to, regularly sitting at desk and using a keyboard, regularly reading both print and digital material, lifting at least 10 lbs, standing or being mobile for extended periods; and
    • Commitment to and interest in student success.
