    GRANTS ANALYST

    OFFICE OF SPONSORED PROJECTS

    ~20 hours/week; ~6 month assignment (with the possibility of renewal); remote-eligible

    ROLE AND RESPONSIBILITIES

    The Grants Analyst will report directly to the Director of the Office of Sponsored Projects (the “Director of OSP”). They will be expected to work proactively and effectively with faculty and administrative staff across multiple departments to support activities related to sponsored research management and grant activity across the College.

    The specific tasks assigned will depend on the evolving needs, and may include the following areas:

    PRE-AWARD COORDINATION SUPPORT:

    • Support faculty and centers/programs (“PIs”) in the grant application process.
    • Provide budget development support, identifying and detailing costs, applying appropriate indirect cost rates, salaries and benefits, equipment, travel; and sub awards/subcontracts.
    • Support the Director of OSP in the establishment of systems for grant prospecting and identify grant opportunities.
    • Support the Director of OSP in the proposal submission process, providing guidance as to relevant institutional policies, securing appropriate pre-award administrative review and approvals from relevant departments, and providing institutional supporting documents as required.

    PRE- AND POST-AWARD ADMINISTRATION, FINANCIAL MANAGEMENT, AND MONITORING SUPPORT

    • Coordinate pre-award contracting, fund establishment, and HR notifications.
    • Coordinate with the Fiscal Grants Accountant to support post-award grant tracking, compliance, accounting, recordkeeping and time effort reporting.
    • Coordinate and monitor budgets for PIs, which includes:
      • Ensuring financial transactions are recorded with precision.
      • Monitoring grant expenditures to ensure proper reporting, cost-sharing and compliance with funder terms and College policies.
      • Reconciling grant activities and expenditures with established budgets to identify variances and prepare and submit cost transfers as necessary.
    • Coordinate between PIs and HR regarding grant-funded recruitment and hiring, payroll, stipends and cost assignment of payroll;
    • Track sub-awards/subcontracts received by and/or issued by UC Hastings to ensure compliance with sponsor and College requirements;
    • Undertake special projects as requested.

     

    CLOSING AND REPORTING

    • Carry out processes for closing grants and reporting to grant funders.
    • Support PIs to prepare and submit grant or other extramural funding extensions as needed.
    • Support PIs and Fiscal Department to prepare and submit reports to funders, including periodic and final performance, financial, and other reports, as required by grant funders.

    REQUIREMENTS

    EDUCATION AND EXPERIENCE

    • Bachelor's degree (advanced degree preferred) in a related field and four years of experience in administrative analysis or grants and research-related administrative operations; or an equivalent combination of education and experience (an appropriate master's degree may substitute for the four years of experience).
    • Experience in grants writing, development, and management, including budgeting, reporting and compliance with funder requirements.
    • Understanding of budget development and monitoring.

    KNOWLEDGE, SKILLS & ABILITIES

    • Demonstrated proficiency in supporting administrative and financial preparation of grant applications and administrative and financial management of grant awards.
    • Knowledge and technical experience with grants finance, compliance, accounting, and administration.
    • Basic knowledge of major compliance regulations governing use of human and animal subjects in research and financial conflict of interest is preferred.
    • Demonstrated proficiency using Microsoft Suite (e.g, Office, Excel, Word, and Powerpoint)
    • Experience using cloud-based file management platforms (e.g, Box.com) and Adobe Acrobat.
    • Basic knowledge of accounting standards for private and federal grants is preferred.
    • Basic knowledge of OMB uniform guidance, principles, and audit requirements is preferred.
    • Experience using Salesforce is preferred.
    • Able to effectively communicate, both orally and in writing, and represent the College in a highly professional and efficient manner before a large and diverse group of stakeholders.
    • Superior organizational, problem solving, time management and customer service skills.
    • Strong attention to detail and accuracy in performing work.
    • Ability to prioritize, work independently with limited supervision, work under deadlines, and implement several tasks simultaneously.
    • Able to remain focused and calm in the midst of changing priorities and deadlines.
