POSITION DUTIES AND RESPONSIBILITIES:
Essential functions: 100% of time
· Participate in providing a variety of technical support for enrollment management processes including building and updating the schedule of classes each session for assigned campus location(s), classroom scheduling, and monitoring of faculty loads; inform all campuses as schedule changes occur
· In coordination with the Campus Director, invite and contract adjunct faculty and university supervisors for all campus course sections ensuring contracts are accurate and acknowledged by deadlines
· Generate and maintain classroom assignments each session
· In collaboration with the Campus Director, forecast hiring needs for adjunct faculty and university supervisors
· In collaboration with the Campus Director and Campus Clinical Coordinator, oversee the adjunct faculty and university supervisor recruitment and hiring process. Assist full time faculty and the Campus Director with the review of adjunct faculty and university supervisor applications and scheduling of interviews
· Assist new adjunct faculty with on-boarding process, ensuring completion of required new hire paperwork, including review and validation of federal and state employment forms
· Process all new adjunct faculty and university supervisor packets; including teaching/supervision requests for approval
· Responsible for accurate data entry, verifying course sections are built appropriately, contracts are correct with minimum number of enrollments
· Process adjunct faculty and university supervisor queries and respond in a timely manner
· Manage booklists, coordinate and order desk copies (to include E-books) for assigned adjunct faculty each session for campus(es)
· Input adjunct faculty and university supervisor pay into Workday; follow up to ensure the contract is acknowledged.
· Ensure that adjunct faculty and university supervisors are made aware of web attendance and grade deadlines, end-of-course student opinion surveys, as well as other activities and deadlines required by their School
· Facilitate Virtual Library presentations with adjunct faculty
· Assist in training adjunct faculty and university supervisors with Workday and Learning Management System
· Oversee and manage all aspects of Reading and Conferences and Independent Study requests
· Assist with scheduling and processing Comprehensive Exams
· Assist and train Faculty Services Specialist colleagues as needed across the university system
· Maintain accurate electronic records and files
· Work closely with Campus Clinical Coordinator to support university supervisor activity
· Manage all functions associated with test-kit activity at the campus
· Other duties as assigned
POSITION SPECIFICATIONS AND REQUIREMENTS:
Knowledge and Education:
· A proficient knowledge of Excel
· Basic methods and techniques of database management
· Principals of business communication
· Interpersonal skills using tact, patience, and courtesy
· Office procedures, methods, and equipment including computers and applicable software applications such as Outlook, word processing, spreadsheets, and databases
Required:
· Minimum two years previous customer service experience
· Acute attention to detail
· Ability to plan and organize work to meet schedules and deadlines
· Ability to work collaboratively with others
· Ability to work confidentially with discretion
Desired Qualifications:
· Previous experience working in higher education
· Knowledge of Brandman University policies and procedures
· Ability to adapt to changing technologies and learn functionality of new equipment and systems
· Understand and follow oral and written directions
· Ability to effective communicate in a distributed system using virtual technologies
Special Conditions of Employment:
Position may be required to work flexible hours particularly given campuses’ extended hours of operation and may require occasional weekend and/or evening work. All applicants are subject to a background check and criminal history review. Working conditions are normal for an office environment. May occasionally travel, such as to meetings, conferences, or between campuses and may include overnight travel.
