    FINANCIAL AID ADVISOR – IRVINE, CA

    POSITION DUTIES AND RESPONSIBILITIES:

    ESSENTIAL FUNCTIONS: 100% OF TIME

    COMPLIANCE:

    • Implements and maintains policies and procedures that ensure compliance with federal and state laws and regulations and with university protocol
    • Utilizes policies or procedures to achieve enrollment goals, enhance effectiveness and efficiency, and ensure compliance with laws and regulations
    • Makes the Assistant Vice Chancellor and/or the Director aware of issues that may compromise compliance with laws, regulations, and policies
    • Maintains student files and program records for compliance with audit and program reviews
    • Recommends policy and procedural changes in order to keep in compliance with all federal mandated guidelines

    PROCESSING FINANCIAL AID REQUESTS:

    • In accordance with all applicable laws, regulations, and policies, conducts in-depth analysis of individual student need to determine eligibility for federal, state, University, and donor provided assistance
    • Resolves student information discrepancies and recalculates eligibility
    • Reviews, verifies, and completes need analysis forms from federal agencies and higher education institutions
    • Processes BU Scholarship awards using appropriate accounts for advising errors, tuition discounts, community partnerships, Brandman University transfer scholarships, Yellow Ribbon Awards, MBA Scholarships, nursing scholarships, education scholarships, and other scholarships that may be developed in the future
    • Utilizes software to retrieve necessary information and provide data entry for financial aid processes for awarding and disbursing funds
    • Under direction from Financial Aid Compliance Officers, conducts program verifications of institutional scholarships and non-University awards
    • Reconciles admissions status with financial aid applications when awarding students
    • Maintains organized and easily readable student financial aid notes in student records
    • Authorizes payment of financial aid awards to student accounts
    • Ensures that all federal Institutional Student Information Report C-codes are resolved before an award is made

    PROVIDES TRAINING FOR ONE STOP:

    • Provides guidance to One Stop Counselors and Campus Directors relative to federal, state, and university regulations
    • Assists One Stop Counselors with use of data systems
    • Advises One Stop Counselors and Campus Directors regarding students’ financial aid statuses

    DAY-TO-DAY DUTIES:

    • Performs technical computer duties such as input and retrieval of student program data, report preparation, word processing and spreadsheet functions, and database and mainframe computer systems
    • Answers and resolves all inquiries from Bradman University campus personnel regarding individual student application status and eligibility
    • Reviews and analyzes transfer students’ Title IV history based on the National Student Loan Data System (NSLDS)
    • Reviews and verifies with the California Student Aid Commission (CSAC) each student’s eligibility for Cal Grant and other state of California awards
    • Manually awards Cal Grant recipients based on CSAC and university policies and procedures
    • Maintains updated contact with US Department of Education (USDE) regarding current student aid eligibility
    • Utilizes USDE computer systems to review applicant information, reporting of payments, correct applicant data, and transactions from the Department
    • Reviews Institutional Student Information Report (ISIR) transactions from USDE to ensure that accurate reporting was received
    • Makes the appropriate ISIR active in the student’s record, assists with auditing of student records
    • Revises awards when adding outside tuition assistance such as scholarship awards, employer tuition assistance, military tuition assistance or any other outside assistance for educational purposes
    • Reconciles discrepancies in student aid regarding loans through written and oral communications with National Student Loan Data System and the Common Origination Disbursement System
    • Processes Institutional Student Information Report (ISIR) C-codes including selective service issues, Social Security number verification, and citizenship/immigration status
    • Provides accurate, appropriate financial aid information to students, parents, employees, and the general public relative to the status of financial aid applications and policies and procedures governing the financial aid process
    • Answers questions related to loan terms and conditions
    • Conducts file reviews and verification of applicant data for students selected for this procedure by the federal government
    • Evaluates academic performance of selected recipients to determine if the recipients are meeting satisfactory academic progress eligibility rules
    • Withholds payment from ineligible students
    • Reviews academic records for appropriate classes before disbursing financial aid
    • Reviews National Student Loan Data System (NSLDS) records to ensure that applicants remain within annual and aggregate student loan borrowing limits
    • Ensures that students do not exceed award limits for Pell and Cal Grants
    • Follows-up with other schools if needed to resolve over payments or any other inaccurate information or issues
    • Maintains currency and utilizes technical knowledge of federal, state, and institutional financial aid program regulations, policies and procedures, and online systems

    ADDITIONAL REQUIREMENTS:

    • Protects the assets of Brandman University
    • Acts as an ambassador of the university both on and off campus
    • Always speaks positively
    • Takes personal ownership of any complaints that are received
    • Fosters high morale within the financial aid office to assure staff job satisfaction and cohesiveness of effort in meeting university and office goals
    • Attends conferences, seminars, and lectures to keep abreast current trends and federal regulations of financial aid

    NON-ESSENTIAL FUNCTIONS OF THE JOB:

    • Opens and sorts mail, faxes, scans, links, and tracks documents
    • Mails office correspondence including additional document request (ADR) letters and award notices Orders office supplies when needed
    • May train and develop the skills of all temporary employees for the financial aid office
    • Assists in the creation of set up of data systems and imaging systems
    • May be asked to participate on a diverse range of university committees in representation of financial aid policy and procedure

    POSITION SPECIFICATIONS AND REQUIREMENTS:

    SPECIAL CONDITIONS OF EMPLOYMENT:

    Position may be required to work flexible hours particularly given campuses’ extended hours of operation, and may require occasional weekend and/or evening work. All applicants are subject to a background check and criminal history review. Working conditions are normal for an office environment. Applicants for this position are subject to a credit review. A US Dept. of Education check is required; the applicant must not be in default on a student loan or owe an over-payment on a federal grant. PREVIOUS EXPERIENCE:

    REQUIRED:

    • At least one year of experience working in a financial aid office
    • Knowledge of federal and state student financial aid laws and regulations, principles of record keeping, software programs and applications, operation of computer equipment
    • Ability to understand, interpret, and apply laws, regulations and procedures concerning financial aid programs
    • Ability to analyze financial aid eligibility of students by applying prescribed criteria
    • Knowledge of arithmetic computations including addition, subtraction, multiplication, division, percentages, ratios, and fractions
    • Writing skills to enable clear, concise, correspondence using proper English
    • Ability to exercise sound independent judgment and personal initiative

    DESIRED QUALIFICATIONS:

    • Knowledge of the Banner system and the ImageNow imaging system are preferred
    • Sound interpersonal skills to relate sympathetically with others yet with sufficient detachment to communicate understanding of rules, procedures, and policy
    • Ability to work effectively and cooperatively with students, staff, faculty and the public
    • Ability to accomplish objectives within deadlines with frequent interruptions
    • Ability to prioritize duties when faced with interruptions, distractions, and fluctuating workload
    • Ability to deal calmly with students who are concerned about their financial aid eligibility
    • Ability to relate to people from a diverse range of ethnic and economic backgrounds
    • Knowledge of the components of teamwork and the ability to utilize these components in an office setting
    • Ability to analyze effectiveness of financial aid policy and procedure and to make recommendations for improvement
    • Ability to incorporate complex rules into job performance
    • Familiar with student services

    KNOWLEDGE: Bachelor’s Degree

    MACHINES, TOOLS, EQUIPMENT, ELECTRONIC DEVICES AND SOFTWARE: Ability to use a personal computer, Microsoft Office software, and Banner. Knowledge in the use of standard office equipment: telephone, copier, fax, PC, computer printers, scanner, etc.
