  • Responsibilities

    This is a hands-on customer-focused, non-supervisory position that assists in the management of the day-to-day audio visual, convention services, and IT operations of the on-site USP Meetings Center. Works closely with and supports a team of meeting professionals who support activities and coordinate meetings relating to USP’s compendial standards and related activities as well as rentals by outside organizations of the Meetings Center.

     

    Roles and Responsibilities

    • Set-up room configurations (e.g., room sets, AV/IT needs for day of meeting, PowerPoint and other meeting technology/material uploading, trouble-shooting when issues arise, etc.) for all meetings held in the Meetings Center
    • Set-up catering configurations for all meetings held in the Meetings Center
    • Work with the meetings team to coordinate the scheduling and planning for all meetings hosted at the Meetings Center by maintaining a logical schedule/calendar to ensure adequate use of meeting space, staffing, and technology
    • Design, order and manage all Meeting Center catering needs for Meeting Center staff and other USP staff members.
    • Liaison to Catering vendors for Meeting Center
    • Track Meetings Center requests and upload information into respective calendars (Intranet, Internet, Excel)
    • Manage supplies and restocking (e.g., beverages, disposables, meeting materials, etc.) for Meetings Center
    • Manage various vendor relations for meeting supplies and marketing materials
    • Procurement and inventory of promotional materials and give aways for meetings and USP Staff
    • Track and manage Meeting Center equipment requests
    • Assist meeting planners with the production of meeting aids and materials (i.e. badges, table tents, etc.)
    • Copyedit all meeting materials (agendas, attendee lists, etc.)
    • Meeting evaluations process/management/analysis
    • Assist in formulation of meeting power points
    • Troubleshoot issues with client-owned mobile devices and computers
    • Purchase Order Management
    • Invoice tracking and reconciliation
    • Review event BEOs to assess feasibility as well as space and AV needs
    • Contribute as a team member for all USP meetings
    • Other tasks, projects as assigned

     

    Basic Qualifications

     

    Education:

    Bachelor’s degree or a combination of associates degree and two (2) years of related work experience.

    Experience:

    • Knowledge or experience in conference centers and/or meeting operations
    • Operating Windows and Mac-based computers
    • Working in small-large convention services

     

    Preferred Qualifications

     

    • Experience with audio, video and/or  web based teleconferencing
    • Knowledge and experience in audio visual/IT management (small–large meetings)
    • Meeting/conference center management or work experience a plus
    • Experience with project planning and management
    • Experience with Cvent Registration software
    • Facilitation, conflict resolution, and team building skills
    • Solid capabilities with software programs (MS Office, Adobe Professional,  Inter/Internet, etc.)
    • Solid verbal and written communication skills
    • Critical thinking and problem-solving skills
    • Solid presentation and reporting skills
    • Highly efficient and productive team member within the meetings department and USP
    • Flexible work schedule with some evenings and weekends
    • Strong customer service skills; friendly, outgoing demeanor
    • Ability to lift 35 lbs. over head

     

    Supervisory Responsibilities
