    Job Description

    The Human Resource Assistant / Receptionist is a highly visible position and will be responsible for providing support to the Corporate & Human Resources Departments. This is a dual-role position located on-site. ESSENTIAL FUNCTIONS: HR RESPONSIBILITIES:

    • Deploy and follow up on employee performance reviews
    • Create and send out various employee surveys.
    • Review pre-employment documents and scan to recruiting. Assist with interview process.
    • Ensure HR regulatory compliance relative to posting requirements and maintain current pamphlets and forms
    • Assist in maintaining the employees’ I-9 forms and update employees’ work authorizations if required.
    • Administrative support for executives including processing expense reports, maintaining log for executives’ company car requests,
    • scheduling meetings, booking conference rooms, coordinating events such as training and townhalls.
    • Maintain high standards of confidentiality in the processing of employee medical files and other employee information.
    • Handle general HR inquiries relative to timekeeping, HR handbook, and benefits. Redirect to appropriate HR personnel as necessary.

    RECEPTIONIST RESPONSIBILITIES:

    • Answer incoming telephone calls, determine purpose of callers and forward calls to appropriate personnel or department.
    • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
    • Receive shipped parcels, incoming mail, and distribute to each department in a timely manner.

    ADDITIONAL RESPONSIBILITIES:

    • Create and replace badges for new hires and employees. Issue and track visitor badges
    • Maintain driver records and notify managers to contact employee if there is a discrepancy in an employee’s record.
    • Enroll and remove employees in the employer pull notice program and work with the company insurance to get approval for employees to drive company vehicles.
    • Update HR policies as requested.
    • Maintain safe and clean reception area
    • Maintain management cell phone list and update appointment calendar.
    • Coordinate with IT on updating UA web portal, cell phone list and Shore tell.
    • Update List of Accounts and binder located at the front desk.
    • Support various HR projects and daily tasks as needed.
    • Maintain supply room and replenish inventory when needed.
    • Other duties as assigned.

    ​QUALIFICATIONS:

    • 2-3 years’ experience in human resources or administrative support role
    • High School diploma or equivalent required. Associates degree or some college preferred.
    • Excellent computer skills, including Microsoft Word & Excel
    • Knowledge of federal and state laws.
    • Effective oral and written communication skills. Must be able to communicate with all levels of Management.
    • Excellent interpersonal skills.
    • Ability to work as a team player.
    • Must have exceptional and follow through skills and attention to detail.
    • Able to exhibit a high level of confidentiality.
    • Organizational skills.
    • Able to multi-task.

    PHYSICAL DEMANDS: Ability to lift 10 lbs. WORKING CONDITIONS: This position works in an office environment. TRAVEL: There is no travel required.
