Job Summary:
The Unit Secretary provides clerical and administrative support to the nursing unit, ensuring effective communication and coordination of patient care activities. This role serves as a liaison between nursing staff, physicians, patients, and other departments to maintain smooth unit operations during the night shift.
Key Responsibilities:
Greet and assist patients, visitors, and staff in a courteous and professional manner.
Answer and route telephone calls promptly and accurately.
Maintain and update patient charts, records, and documentation in accordance with hospital policy.
Transcribe physician orders and ensure timely communication to appropriate personnel.
Assist nursing staff with non-clinical tasks, including data entry, scheduling, and coordination of patient transport.
Order and maintain adequate inventory of unit supplies and forms.
Ensure all patient information remains confidential following HIPAA regulations.
Coordinate communication for admissions, transfers, and discharges.
Respond promptly to requests for information and relay critical messages efficiently.
Support the nursing team in maintaining an organized, clean, and safe unit environment.
Qualifications:
High school diploma or equivalent required.
Completion of a medical terminology course preferred.
Previous experience as a Unit Secretary, Ward Clerk, or similar clerical role in a healthcare setting preferred.
Strong computer skills and familiarity with EMR/EHR systems.
Excellent communication, multitasking, and organizational abilities.
Ability to work independently during night shifts with minimal supervision.
