    JOB SUMMARY:

    Responsible for maintaining a pleasant and consistent flow in the daily operations of the clinic by providing excellent customer service, communicating effectively with fellow employees, physician offices, patients and insurance companies, and efficiently handling all tasks related to claims and financial submissions. Supports and contributes to the mission, vision and values of the company.

    QUALIFICATIONS - REQUIRED

    • High School Diploma or equivalent.
    • One to two years’ experience reception or front office experience.
    • Excellent customer service and communication skills, ability to multitask, organizational detail, ability to meet deadlines, work with little to no supervision, as a member of a team, efficient time management skills, computer programs including (Word, Excel, etc.).

    PREFERRED QUALIFICATIONS:

    Experience - Reception experience in a medical office setting is preferred.

    JOB FUNCTIONS:

    • Greets everyone who enters the clinic in a friendly and welcoming manner.
    • Schedules new referrals received by fax or by telephone from patients, physician offices, or other sources.
    • Verifies insurance coverage for patients under workers' compensation, motor vehicle accident, or those scheduled with less than 24 hours notification.
    • Collects patient copayments and puts in a secure location.
    • Maintains and orderly and organized front office workspace.

    MAJOR DUTIES AND RESPONSIBILITIES:

    • Perform, adhere to, and implement all Herschend Family Entertainment Core Values and Newport Aquarium Guest Experience Standards, Policies and Procedures, and Safety Protocols to ensure safe and efficient food and beverage operation.
    • Maintain a positive attitude and appearance at all times.
    • Responsible for overseeing Sharky’s Café processes and leading 1 to 4 team members.
    • Help Food and Beverage Management Team develop and monitor a highly motivated, positive, and productive team.
    • Assist in evaluations and training of all Food and Beverage team members.
    • Help implement new policies and procedures when needed.
    • Handle comments, concerns and suggestions from team members and guests regarding the guest experience.
    • Maintain knowledge of activities, aquatic life, and Newport Aquarium special events/promotions in order to properly notify and inform guests.
    • Maintain a positive attitude and appearance at all times.
    • Must be self-motivated to work independently, as well as, disciplined and reliable.
    • Arrive on time and ready to work all scheduled shifts.
    • Keep safety as a number one priority at all times while working at Newport Aquarium.
    • Maintain appropriate guest and team member relations at all times, ensuring guest and team satisfaction.
    • Work with other team members/departments of Newport Aquarium to ensure effective communication is implemented at all times.
    • Provide on-boarding and ongoing training to team members in order to maintain knowledge of aquarium activities and operations.
    • Perform opening and closing duties.
    • Ability and willingness to cross train in other food and beverage areas.
    • Make certain that proper operating procedures are being adhered to at all times, according to pre-determined guidelines.
    • Responsible for maintaining Payment Card Industry (PCI) compliance.
    • On a daily basis ensure that:
      • Team members are knowledgeable on location and the functions of position; if not, inform Food and Beverage Management Team immediately
      • Ensure café cleanliness in accordance with food safety guidelines.
      • Participates in the basic functions of the foods department including, guest transactions, preparing food, and cleaning the lobby/café.
      • Maintain inventory and ensure items are in stock.
      • Assisting the guests of Newport Aquarium with questions or comments regarding the Sharky’s Cafe and completing cash transactions.
      • Serving food and menu items to the guests of Newport Aquarium.
      • All required paperwork is properly completed.
      • Ensuring team members are in correct uniform.
      • Maintaining proper break schedule for team members as prescribed in team member handbook.
      • Courteousness, friendliness, and helpfulness are being displayed at all times.
      • Opening and closing procedures are appropriately implemented.
      • Perform other related duties or tasks as assigned by the Merchandise Management Team.
