    TITLE:

    Project Support Specialist Senior

    JOB PURPOSE:

    Provide professional level support and project management services for divisional initiatives and projects. Lead the development, implementation, and execution of moderately difficult initiatives usually with a completion timeline of a year or less. Acts as an advisor to program teams regarding projects, plans, and operations. Perform specialized administrative support for projects and for the unit.

    IMPACT & INFLUENCE:

    This position will interact on a regular basis with: unit management and staff, department staff. This position typically will advise and counsel: unit and department staff. This position will supervise: N/A.

    KEY RESPONSIBILITIES:

    Duties may include but are not limited to:

    • Lead and support a broad range of moderately difficult multifunctional projects and programs including developing tools, resources, timelines, and other items needed to ensure successful completion. Conduct assessments, gather and interpret data, produce reports and provide solutions to successfully manage projects.
    • Initiate and conduct assessments, collect data and benchmarking studies to identify needs, gaps, improvements, and recommendations. Advise management on issues and matters of significance related to projects, programs and future initiatives.
    • Establish schedules, oversee arrangements and provide logistics support for projects.
    • Participate in the development and execution of program events. Coordinate and arrange meeting and project materials for distribution as necessary.
    • Prepare correspondence and reports which may include origination of first drafts and conducting related analyses and research on behalf of the unit executive or other unit staff. Design, develop and edit project presentations, agendas, and other related documentation.
    • Track and present progress reports, proposals and related project related communications.
    • Provide specialized administrative support for assigned projects and possibly for the unit as a whole including coordinating the executive's calendar, meetings and event arrangements.
    • May initiate and/or process HR related documentation including hiring packages, posting requests, schedules and reports.
    • Gather and coordinate dissemination of information regarding new or revised policies and procedures within unit. Respond to inquiries regarding Institute and departmental policies and procedures; make referrals when appropriate.
    • Perform other related duties as assigned.

    EDUCATION, SPECIALIZED KNOWLEDGE AND EXPERIENCE:

    DEGREES REQUIRED FOR THIS JOB: Bachelors degree in related field, or equivalent combination of education and experience. DEGREES PREFERRED:  YEARS OF EXPERIENCE REQUIRED FOR THIS JOB: Four to five years job related experience YEARS PREFERRED:  CERTIFICATIONS OR LICENSES REQUIRED FOR THIS JOB:  CERTIFICATIONS OR LICENSES PREFERRED: Project Management Professional (PMP) 

    SPECIALIZED SKILLS:

    SPECIALIZED SKILLS REQUIRED FOR THIS JOB: Requires strong organizational skills, attention to detail, excellent interpersonal, ability to learn quickly, and communication skills (oral and written). Strong project management and process improvement skills. SPECIALIZED SKILLS PREFERRED: Experience in a higher education environment.

    • Must be able to work in a fast paced environment which may include a considerable amount of walking, and physical assistance for patients.
    • Strong verbal and written skills; fluent in English. 
    • Knowledge of medical terminology, infection control and safety.
    • Adaptability and accuracy.
    • Must have good visual acuity and motor coordination.
    • Strong clinical skills.
    • Basic math skills and ability to handle cash transactions.
    • Strong computer skills (data entry and typing).
    • Honest, dependable, and conscientious.
    • Knowledge of Electronic Health Record (EHR) computerized practice management and other record keeping systems.
    • Bilingual in English and Spanish preferred
