    JOB DESCRIPTION:

    UNLIKELY COLLABORATORS IS SEEKING AN INTELLIGENT, JOYFUL, AND HIGHLY RELIABLE INDIVIDUAL TO FUNCTION AS AN OFFICE ASSISTANT. THE PRIMARY PURPOSE OF THIS ROLE IS TO SUPPORT UNLIKELY COLLABORATOR’S SENIOR SPECIALIST AND THE UNLIKELY COLLABORATORS’ TEAM AS NEEDED. THIS IS A MULTIFACETED ROLE WHICH WILL INVOLVE ADMINISTRATIVE TASKS AS WELL AS AD HOC SUPPORT ON A RANGE OF PROJECTS. IF YOU’RE A PROACTIVE, MOTIVATED INDIVIDUAL WITH A KNACK FOR ORGANIZATION AND HIGH ATTENTION TO DETAIL, THIS JOB IS FOR YOU.

    ESSENTIAL JOB FUNCTIONS:

    • ORGANIZE AND MAINTAIN ALL COMMON AREAS OF THE OFFICE, INCLUDING BUT NOT LIMITED TO CONFERENCE ROOMS, KITCHEN, AND LOBBY AREAS.

    • MONITOR AND MANAGE INVENTORY OF OFFICE SUPPLIES; ORDER AND DISTRIBUTE OFFICE SUPPLIES AS NECESSARY AND ANTICIPATE NEEDS.

    • PERFORM GENERAL ADMINISTRATIVE TASKS, INCLUDING ANSWERING AND DIRECTING PHONE CALLS, EMAIL CORRESPONDENCE, AND OCCASIONAL FILING (PHYSICAL AND DIGITAL).

    • MANAGE INCOMING AND OUTGOING MAIL/DELIVERIES.

    • GREET CLIENTS AND VISITORS IN A FRIENDLY AND COURTEOUS MANNER. NOTIFY STAFF OF GUEST ARRIVALS AND ESCORT THEM UP TO OUR OFFICE SPACE.

    • MAINTAIN INVENTORY AND REPLENISHMENT OF GROCERY STOCK AND KITCHEN SUPPLIES.

    • MANAGE THE ORDERING OF LUNCHES MOST DAYS, OCCASIONALLY PICKING UP LOCALLY.

    • ACT AS EVENT SUPPORT FOR VARIOUS EVENTS SUCH AS WORKSHOPS, BOARD MEETINGS, SUMMITS, ETC. WHICH OCCASIONALLY FALL ON WEEKEND DAYS.

    • PROVIDE AD-HOC SUPPORT TO OFFICE AND OTHER STAFF MEMBERS OR DEPARTMENTS AS NEEDED OR SPECIAL TASKS/PROJECTS ASSIGNED BY SENIOR SPECIALIST.

    QUALIFICATIONS:

    • HIGH SCHOOL DIPLOMA OR ASSOCIATE’S DEGREE.

    • WARM PERSONALITY WITH STRONG COMMUNICATION SKILLS.

    • ABILITY TO WORK IN A COLLABORATIVE TEAM ENVIRONMENT.

    • ABILITY TO LIFT UP TO 40LBS.

    • EXPERIENCE AS AN OFFICE ASSISTANT (PREFERRED).

    SKILLS:

    • MUST BE ABLE TO MAINTAIN A HIGH LEVEL OF CONFIDENTIALITY.

    • EXCELLENT VERBAL AND WRITTEN COMMUNICATION SKILLS REQUIRED.

    • EXCEPTIONAL ORGANIZATIONAL SKILLS REQUIRED.

    • STRONG PROBLEM SOLVING SKILLS AND ATTENTION TO DETAIL.

    • MUST BE WILLING TO COLLABORATE WITH OTHERS.

    • MUST HAVE STRONG COMPUTER SKILLS, INCLUDING EXPERT PROFICIENCY IN GOOGLE SUITE.
