JOB DESCRIPTION

The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role. Ideal candidate must be able to work within a faced paced work environment.

RESPONSIBILITIES

• Accounts payables/receivables
• Manage and coordinate active calendars
• Schedule and confirm meetings, vendors, clients and staff
• Ensure file organization based on office protocol
• Provide support around office as needed
• Bi-monthly updating of website. Visual and verbiage content
• Monthly design and generation of Constant Contact mailer
• Assist lead designer and junior designer installing and unloading for staging jobs (as needed)
• Maintain order, organization, and neatness in office
• Scheduling of vendors, subcontractors as they relate to all associated entities at Upstage Design/Concierge
• Assist Design Manager with daily administrative tasks
• Assist CEO with daily action items
• Communicate with Bookeeper and CPA and provide information as needed
• Facilitate and manage AR/AP

QUALIFICATIONS

• 4+ YEARS OF ADMINISTRATIVE EXPERIENCE
• STRONG INTERPERSONAL, CUSTOMER SERVICE AND COMMUNICATION SKILLS
• ABILITY TO MULTITASK
• EXPERTISE IN QUICKBOOKS ONLINE
• EXPERTISE IN SCHEDULING
• BACHELORS DEGREE
• EXCELLENT COMMUNICATION SKILLS
• OPERATIONS OVERSIGHT
• MARKETING & MANAGEMENT
• BUDGETING & REPORTING
• GENERATE SALES & FINANCIAL REPORTS
