Job Description: The Executive/Personal Assistant (EA/PA) to the Founder and CEO of Upstate Curious plays a pivotal role in ensuring the smooth operation of both professional and personal aspects of the CEO's life. This multifaceted role encompasses various responsibilities, requiring the EA/PA to be proactive, solution and process-oriented, and capable of thinking outside the box. The EA/PA will strategically organize the CEOs schedule, enhancing their overall effectiveness. The EA/PA serves as the CEO's "right-hand" and gatekeeper, managing the CEO's schedule, enabling her to advance the company's initiatives and goals. This is a hybrid role. The EA/PA will be required to spend 1-2 days a week in the Accord/Kerhonkson, NY area to work directly with the CEO. This is very much a start-up environment where things move quickly. The person in this role should be comfortable asking questions, making suggestions, and pushing back and/or explaining the impact of a new request on current priorities. Responsibilities: Email and Other Communication Management • Review and categorize emails based on priority, draft replies, and move action items to task management tools. • Ensure timely responses to emails, meeting requests, and other communications. • Establish a communication cadence with the CEO so she can stay informed about tasks stemming from the inbox. • Assist in filtering and prioritizing text and Slack messages. • Assist the CEO in attaining inbox zero status. Schedule Management • Efficiently coordinate business and personal appointments, maintaining synchronized calendars across multiple business units. • Prepare the CEO for meetings with appropriate notes and time blocking. • Attend select meetings to understand and track company workflow. • Provide meeting support, including setting up meetings and taking comprehensive notes. Task Management • Collaborate closely with the CEO to ensure she stays on track for recurring events, such as writing a weekly newsletter or editing listing copy. • Utilize the calendar to allocate sufficient time for task completion. • Manage the CEO's To-Doist list, which may include tasks assigned by other employees. • Ensure tasks are organized, prioritized, and completed in a timely manner, providing a structured approach to her work. Administrative Tasks • Handle incoming mail (business and personal), assist with travel planning, manage and organize tax documents, assist with reservations, shopping, errands, and gift purchases. Note: The specific tasks and responsibilities of this role may vary depending on the CEO's requirements and needs. Qualifications: • Proven experience as an Executive/Personal Assistant, preferably supporting high-profile individuals. • Exceptional organizational skills, keen attention to detail, and a solution-oriented mindset. • Strong communication skills with the ability to provide options and solutions. • Tech-savvy, proficient in modern scheduling and task management tools. • Ability to handle multiple tasks and responsibilities efficiently and adapt to changing needs. • Be comfortable asking questions, making suggestions, and pushing back and/or explaining the impact of a new request on current priorities.
