    Description: The Program Assistant is a vital role to our organization and will help support the day-to-day operations of the Quality Control Division. Job title: Program Assistant Department: Development Services Unit Divisional Unit: Quality Control and Inspections Reports to: Manager of Architecture Essential Functions and Responsibilities: Assist Manager of Architecture with the coordination of resources, meeting schedules, and information.Assist with organizing, coordinating, developing, and controlling projects technical data and organization documents.Collaborate with Manager of Architecture and external stakeholders with technical drawings, contract administration, and reports.Assist and support architects in executing multiple architectural projects.Answer bidder inquiries, coordinating bidding and budgets, prepare written reports, provide general support to project members, such as document preparation.Assist with the review of the architectural drawings and specifications as the basis for contract bids. Assist with the review of contract plans and specifications for adherence to applicable design standards. Serve as liaison between Manager of Architecture, vendors, URA staff, regulatory officials, consultants, and clients. Assist with review of proposals for professional services and construction bids received by the URA.Record and update information stored in software data base.Assist with document preparations such as contracts, amendments, authorization memos, and board agenda.Assist Quality Control staff to ensure that design and construction projects meet URA standards.Assist Quality Control staff to provide technical information to other URA departments. Serve as backup for payroll approval as needed.Assist with New Contractor Registration (Tracking, W-9, Insurance, Netsuites).Other assigned duties a required. Position Requirements and Qualifications: Bachelor's degree in Architecture, or Construction Management with minimum 3 years' experience working in construction office environment. Extensive knowledge of industry practices, procedures, and market trends and architectural design skills.Analyzing information, preparing documents and spreadsheets, and maintain vendor relationships. Report preparation and presentation skills, estimating, decision making, teamwork and documentation Skills. Must be quality focus, accuracy, detailed to attention.Must be a team player and people oriented.Strong communication and written skills Microsoft Word, Excel (data analysis and management), PowerPoint, CAD, and Graphic Software experience. Ability to safely and successfully perform the essential job functions consistent with the ADAMust be able to lift and carry up to 20 lbs., standing, sitting, and reaching and stretching.
