    Job Description

    OVERVIEW:

    Our client is seeking a Full-Time Office Manager in their Louisville, KY office. The Office Manager role is responsible for supporting their daily operations reporting directly to the President of the organization. Our client is a leader in its industry providing high quality/performance products to the industrial and commercial marketplace.

    DUTIES:

    Serving as the first point of contact to the customer, the Office Manager ensures office operations are handled efficiently and effectively. Operations include customer service, accounting, marketing, and public relations. This position will manage internal business processes, from client relations to resolving pricing issues.

    RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

    • Provide general office support to include handling customer calls: inquiries,
    • complaints, and billing issues.
    • Manage vendor relations of contracts and product pricing for invoices
    • Draft correspondence (reports, letters, and emails) using Microsoft office products
    • (i.e., MS Word, Excel, and PowerPoint).
    • Schedule meetings for President with internal and external clients.
    • Oversee office supply inventory and orders for office.
    • Perform data entry tasks in various databases e.g., Accounting - Sage 50, etc.
    • Manage shipping process to include labeling of products and invoicing process.
    • Answer incoming telephone calls; transfer calls and take messages for company staff.
    • File paperwork to include company correspondence, billing documents, manufacturing data, etc.
    • Receive visitors into office and answer questions for directing to appropriate location.
    • Other duties as assigned.

    EDUCATION:

    • Associates degree preferred but not required
    • 2+ years of experience providing administrative support in a professional environment

    TECHNICAL SKILLS:

    • Demonstrated experience using Microsoft Office (Word, Excel, and PowerPoint)
    • Proficient in SAGE 50 or similar accounting software preferred

    QUALIFICATIONS:

    • Top Notch Customer Service
    • Close attention to detail for all written communications
    • Ability to take direction and follow through
    • Manage competing priorities and meet strict deadlines
    • Good judgement and problem-solving skills

    SALARY:

    $40,000 – $50,000 per year (commensurate with experience)

    WORK SCHEDULE:

    • Monday - Friday; 40 Hours Per Week
