    VETRO FiberMap is seeking an organized and proactive full-time, in-office Administrative Coordinator to join our team. This position is responsible for a wide variety of office support activities for our software development firm in downtown Portland; this position reports to the Controller and works directly with the CFO and the Executive Assistant to the CEO. 

    We are looking for a candidate who has an eye for detail, learns quickly and can maintain organization in a fast-paced, dynamic environment. We value ingenuity, enthusiasm and strategic thinking. Our 60-person team is growing rapidly, and the right candidate enjoys new challenges and an evolving landscape. Strong writing, basic math and office software skills, excellent verbal communication and problem-solving are key to success at VETRO FiberMap. In addition, the ideal candidate has at least one year of administrative or customer service experience, and accounting or bookkeeping experience is a plus. 

    Your primary role includes operational support activities, including: 

    • Accounts Receivable - work with the Sales team and Controller to manage a bi-weekly program of customer related accounting tasks that includes direct communication with our customers' accounting departments in regards to invoicing, collections, and vendor updates as needed. 
    • Other basic operational bookkeeping and data tasks, including data entry, accounts payable analysis, and customer account upkeep across various platforms. 
    • ​​General, entry-level accounting tasks such as cash matching, routine journal entries, and reconciliations
    • Managing multiple calendars for shared office spaces, vendor forms and deadlines, and assistance with Corporate and Field marketing events 
    • Digital and physical file management
    • Office management activities, including maintaining inventory of and ordering office supplies, coffee and snacks, organizing and tidying workspaces and kitchen area, and light physical duties such as assembling desk chairs, changing light bulbs or unpacking large orders 
    • Running local errands, including the bank and post office, and the occasional office meals
    • Planning and preparing for meetings and special events 
    • Management of inbound/outbound mail and packages

    $45,000 - $55,000 DOE.
