PART TIME POSITIONS AVAILABLE: EVERY OTHER WEEKEND ONLY OR SOME EVENINGS AND EVERY OTHER WEEKEND SUMMARY: This position is responsible for greeting guests, residents and employees, managing both external and internal calls, receiving and communicating messages, monitoring the front desk and lobby activity, providing general assistance and support to residents and staff.
DUTIES AND RESPONSIBILITIES:
• Greets residents and visitors in a courteous and friendly manner. Answers questions and provides assistance and direction.
• Answers incoming calls professionally, courteously, and in a timely manner.
• Takes complete messages with pertinent information and communicates messages to the intended recipient.
• Assists guests and employees with purchasing meals.
• Responsible for keeping an accurate census of residents for fire safety.
• Responsible for following fire emergency procedures during monthly fire drills and in a fire emergency.
• Monitors sign-in/out system and updates resident census as changes occur.
• Manages appointments for residents and family members such as the hairdresser, transportation, etc.
• Maintains and keeps desk and entry area neat and organized.
• Organizes and distributes mail to residents and Administration.
• Collates brochures for the marketing department.
• Maintains adherence to all company personnel policies and established operating policies and procedures.
• Performs all other related duties as assigned by management.
SUPERVISORY RESPONSIBILITIES:
· This job has no supervisory responsibilities.
QUALIFICATIONS:
· High school diploma or general education degree (GED).
· Other skills required:
o One to three years customer service experience and/or training; or equivalent combination of education and experience.
o Ability to read and write using the English language.
o Ability to read and comprehend instructions, short correspondence, and memos.
o Ability to write, correspond, and communicate clearly and effectively either in person, on the phone, or through email.
o Ability to respond quickly and calmly to an emergent situation.
o Ability to follow necessary protocol for quarterly fire drills, quickly and calmly.
o Ability to use Microsoft Windows, including Word and Excel; ability to use email and the Internet.
o Demonstrates general office skills such as the use of copy machines, postage machines, and other general office equipment.
o Must demonstrate an interest in working with a senior population, respects their privacy, and maintains confidentiality.
o Must support the organization's goals and values.
o Must be able to work well both independently and as part of a team.
o Completes administrative tasks accurately and timely.
o Ability to handle multiple priorities.
o Must demonstrate good organizational, time management and record keeping skills.
o Demonstrates good judgment, problem solving and decision-making skills.
