Our rapidly growing law firm is seeking a seasoned Chief Operating Officer to align our business in support of our firm’s strategic goals. Our ideal COO will establish and implement policies and procedures to promote our culture, vision, and mission - to make healthcare safer in America while rooting out fraud, greed, and incompetence among healthcare providers and seeking justice for those who are harmed. Our firm is comprised of fierce advocates who maintain the gold standard in everything they do. Our ideal COO will oversee the firm’s business operations as a whole and is responsible for driving the firm’s efficiency and sustainable growth. Our COO will report to the firm’s CEO, who is a visionary and is excited to bring aboard an experienced implementer! This position will be the key leadership position for executing the firm’s strategic goals and will work with our firm’s business coach to set, regularly evaluate and meet the firm’s goals. Our COO is expected to develop and implement systems and workflow processes in all areas of the firm, including those related to finances, marketing, intake, HR, legal, and more. Responsibilities: Systems & Operational Process Refinement • Create, implement, and maintain the firm’s policies and procedures • Train staff on all policies and procedures, linking compliance with the same to Key Performance Indicators (KPIs) and a job performance review process • Create an internal audit system to trigger red flags when policies and procedures are not followed properly so that we catch any errors proactively • Define and implement productivity metrics whereby we can more accurately measure and improve firm efficiency • Refine and maintain the firm’s technology infrastructure to minimize waste and maximize internal efficiencies within the firm Human Resources • Determine hiring needs • Recruit, interview, and screen applicants for non-attorney positions • Evaluate all legal and non-legal personnel around Key Performance Indicators (KPIs) and make recommendations to the owner regarding their work assignments, salaries, bonuses, and discipline • Perform routine employee evaluations • Implement and enforce the firm’s personnel rules and employment policies Financial Management • Plan and implement the firm’s annual marketing and operations budgets • Collaborate with the owner to improve financial controls and analyze key financial reports to identify inefficiencies in the firm and spot opportunities for improvement to the firm’s bottom-line • Coordinate with and supervise the accounting manager • Collaborate with the owner on the firm’s overall business plan and marketing plan and help strategize opportunities to improve the sales and marketing departments of the firm to help grow the firm’s top-line revenue • Coordinate and handle the arrangements for firm events and assist the owner with marketing activities • Manager the firm’s relationships with current clients, former clients, and outside referral sources Intake Management • Improve the management of the intake department in order to ensure that the firm can sustain the increasing quantity of incoming leads • Supervise personnel of the intake department to ensure that all leads are handled to the firm’s standards and that all “wants” are quickly identified and responded to • Ensure that systems and people are in place to tend to all leads, document all encounters appropriately, and sign the most desired clients • Design and implement a system that keeps the firm’s many referring attorneys happy and informed • Supervise the firm's marketing company and ensure that their strategy aligns with the goals of the business Qualifications: • At least 5 years prior experience in a Director of Operations or COO role • Experience with navigating the complexities of growth • Previous knowledge of legal or other professional service organizations; Significant experience in managing business operations such as human resources, technology, facilities, finance, and marketing • Experience in operational process refinement, budgeting, and HR • Expertise working with software systems critical to the operation of a successful firm • Strong project management skills and experience working within an effective project management system • Strong supervision/management skills of administrative and executive personnel • Working knowledge of best practices in law firm marketing, including digital marketing, social media marketing, and relationship marketing • Thorough knowledge of accounting software • Demonstrated ability to prepare a wide range of financial and business reports for the owner • Demonstrated competency in strategic planning and business development • Working knowledge of data analysis and performance/operation metrics • Outstanding organizational and leadership skills • Aptitude in decision-making, problem-solving, and analytical thinking • To be considered for this position, applicants are required to complete the attached DISC assessment Compensation: $100,000 - $140,000 BOE
