    ABOUT US:

    Vaxart is a clinical-stage biotechnology company developing a range of oral recombinant vaccines based on its proprietary delivery platform. Vaxart vaccines are administered using convenient room temperature-stable tablets that can be stored and shipped without refrigeration.

    Vaxart has demonstrated that its proprietary tablet vaccine delivery platform is suitable to deliver recombinant vaccines, positioning the company to develop oral versions of currently marketed vaccines and to design recombinant vaccines for new indications. Its development programs currently include tablet vaccines designed to protect against coronavirus, norovirus, seasonal influenza, and respiratory syncytial virus (RSV), as well as a therapeutic vaccine for human papillomavirus (HPV), Vaxart's first immuno-oncology indication.

    Our mission is the promotion of global health through the development of effective vaccines that can be administered by tablet rather than by injection, providing for the simple and efficient distribution and administration of safe vaccines in any setting.

    We are looking for an EA to join our growing team! THIS IS A REMOTE ROLE HOWEVER CANDIDATES MUST BE BASED IN CENTRAL OR EASTERN TIME ZONES.

    SUMMARY:

    The Executive Assistant (EA) role requires flexibility and the ability to roll up your sleeves and participate in various tasks and projects to deliver success. This role reports to the Business Administration Manager to support C-Level executives and drive the administration of day-to-day operations as assigned. The EA is expected to handle all duties with a high degree of integrity, professionalism, and confidentiality. Ultimately, the EA will contribute to the efficiency of Vaxart's business by providing personalized and timely support to executive members. The person in this role is highly motivated, takes initiative, and feels comfortable with ambiguity and they know how to ask the right questions to gain more detail, and can drive to execution efficiently and proficiently.

    RESPONSIBILITIES:

    • Manage and prioritize calendars, schedules, and communications.
    • Arrange travel schedules that can quickly change and need adjustment.
    • Available and responsive to the global nature of the business - often extending into non-traditional office hours.
    • Organize meetings, entertainment, and events.
    • File expense reports and track reimbursement status.
    • Coordinate logistics, catering, and materials for internal and external meetings as required.
    • Organize and distribute mail and packages to clients.
    • Special projects as assigned.
    • Responsible for assisting in office duties such as answering phone calls, sending emails, ordering meals, and greeting visitors.
    • Support ad-hoc requests, often on short notice.
    • Travel to the Headquarter Office up to 25%.

    REQUIREMENTS:

    • Associate degree or equivalent experience. Bachelor's degree preferred.
    • Ability to maintain strict confidentiality.
    • Minimum of 5+ years executive or general administrative experience supporting multiple executives with the ability to prioritize tasks and requests.
    • Outstanding organizational and time management skills.
    • Excellent interpersonal, verbal, and written communications skills.
    • Reliable, proactive, and dependable.
    • Strong attention to detail with the ability to manage and meet deadlines.
    • Technologically savvy and experienced with Microsoft Office Suite applications.
