    ABOUT US:

    Vaxart is a clinical-stage biotechnology company developing a range of oral recombinant vaccines based on its proprietary delivery platform. Vaxart vaccines are administered using convenient room temperature-stable tablets that can be stored and shipped without refrigeration.

    Vaxart has demonstrated that its proprietary tablet vaccine delivery platform is suitable to deliver recombinant vaccines, positioning the company to develop oral versions of currently marketed vaccines and to design recombinant vaccines for new indications. Its development programs currently include tablet vaccines designed to protect against coronavirus, norovirus, seasonal influenza, and respiratory syncytial virus (RSV), as well as a therapeutic vaccine for human papillomavirus (HPV), Vaxart's first immuno-oncology indication.

    Our mission is the promotion of global health through the development of effective vaccines that can be administered by tablet rather than by injection, providing for the simple and efficient distribution and administration of safe vaccines in any setting.

    We are looking for an Executive Assistant, Clinical to join our growing team! This is a remote role, however, candidates must be based on the West Coast. 

    SUMMARY:

    The Executive Assistant (EA) role requires flexibility, keen attention to detail, and the ability to roll up your sleeves and participate in various tasks and projects to deliver success. This role reports to the Sr. Vice President of Clinical Development & Project Management to. The EA is expected to handle all duties with a high degree of integrity, professionalism, and confidentiality. Ultimately, the EA will contribute to the efficiency Vaxart's business by providing personalized and timely support to executive members. This role requires a person who is highly motivated, takes initiative, and feels comfortable with ambiguity; they should have good multi-tasking skills, know how to ask the right questions to gain information as needed, and have the ability to drive tasks to completion efficiently and proficiently.   

    RESPONSIBILITIES:

    Manage and prioritize calendars, schedules, and communications

    Efficiently follow-up with internal & external collaborators on the executives behalf with high professionalism, as requested by the

    Arrange travel schedules that can quickly change and need adjustment

    Ability to work flexible work schedule when needed to support deadlines

    Organize and coordinate both internal and external meetings and events

    • Schedule meetings, draft meeting agendas and meeting minutes
    • Help follow-up on action items from meetings

    Track department supplies and manage inventory and reorder

    Manage departmental trackers (e.g. finance, POs, list of vendors and contractors, etc.)

    File expense reports and track reimbursement status

    Support ad-hoc requests, often on short notice

    Travel to the Headquarter Office up to 20%

    REQUIREMENTS:

    Associate degree or equivalent experience. Bachelor's degree preferred

    Ability to maintain strict confidentiality

    Minimum of 5+ years executive or general administrative experience supporting executives with the ability to prioritize tasks and requests

    Outstanding organizational and time management skills

    Excellent interpersonal, verbal, and written communications skills

    • Ability to draft cover letters and other general documents

    Reliable, proactive, and dependable

    Strong attention to detail with the ability to manage and meet deadlines

    Technologically savvy and experienced with Microsoft Office Suite applications

    • Ability to draft cover letters and other general documents
    • Ability to review documents for consistency and formatting
    • Ability to create and manipulate Excel spreadsheets
    • Ability to draft Powerpoint presentations
