You'll work at our brand new real estate company in a fast growing people-oriented business. We seek talent above all else so Real Estate experience is not required.

    Administrative Assistant Responsibilities

    Manage Email/Calendar

    • Monitor agent's email throughout the day
    • Organize, file and prioritize email 
    • Keep inbox clear for priority messages
    • Respond/file away simple messages/unsubscribe from junk emails

    Communications

    • Weekly check-in calls with escrow, clients, and lenders
    • Summarize all client/lead calls in daily recap email
    • Log all client/lead calls in Copper
    • Route/transfer/conference all hot leads to agent and other agents as we grow
    • Call Potential Clients to set appointments for agent(s)

    Listing Coordination

    • Prepare all listing materials: Listing presentation, Listing Agreement, sellers' disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings etc.
    • Update listing presentation as necessary
    • Consult & coordinate with sellers on all property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities
    • Works directly with Transaction Coordinator to ensure paperwork and processes are running smoothly
    • Coordinate and attend inspections and appraisals
    • Coordinate showings & obtain feedback
    • Provide proactive weekly feedback to sellers regarding all showings and marketing activities
    • Coordinate all public open houses and broker open houses
    • Input all listing information into MLS and marketing websites and update as needed
    • Input all necessary information into client database and transaction management systems
    • Schedule and coordinate vendors for improvements and inspections
    • Track all reimbursable expenses and submit them to escrow
    • Send client gift at closing and on birthday

    Assist With Buyers

    • Ensure that buyer clients are pre-qualified with mortgage lender
    • Provide buyer clients pricing information and market research
    • Identify homes to show that meet buyers' criteria
    • Refine buyers' criteria and select additional homes to show as necessary
    • Schedule showings of homes with buyer clients, listing agents and/or home sellers
    • Prepare route for buyers tour and present agent with printed tour, buyers presentations, and MLS printouts
    • Schedule and attend on-site property inspections with clients and vendors
    • Provide buyer clients access to homes under contract as needed for measuring, inspections, etc.
    • Promptly return all buyer client telephone calls, texts and/or emails
    • Gather and answer buyer questions about potential homes and local community information
    • Keep lead agent informed on all client communications and developments (copied on all emails & update notes in CRM)
    • Once in contract, work directly with Transaction Coordinator to ensure paperwork and processes are running smoothly
    • Send client gift at closing and on birthday
    • Be available for at least 8 hours on weekends

    Social Media/Advertising

    • Develop and posting new listings and engaging content
    • Posting just sold, agent delivering keys
    • Set up Blogging and manage postings

    Client Database Management

    • Ensure every contact made is entered and bucketed in Copper
    • Set up individual bucketed campaigns
    • Track the status and source of all transactions

    • Refer any potential clients from your sphere of influence to agent
