    Manager of Real Estate Operations

    Summary:

    The Manager of Real Estate Operations works to ensure the company’s real estate operations run safely, smoothly, efficiently and cost effectively in order to meet the business needs of the organization.

    Responsibilities:

    • Align with their strategic plans and agency goals to determine real estate operation needs and long-term objectives for the organization
    • Evaluate current real estate leases and property acquisition plans, property operations and management systems, and business processes related to the agency’s real estate portfolio
    • Coordination of tenant improvements for new and renewed leases. This includes potential amortization of tenant improvement costs.
    • Negotiation of lease amendments and review of estoppels.
    • Identify properties for acquisition and/or create/analyze financials related to real estate acquisition to assess best course of action and, where requested, lead/participate in negotiations with lenders and/or landlords to maximize value for Heluna Health
    • Present financial analysis with recommendations for or against potential acquisition to senior executives and the agency’s Board of Directors. This may include lease vs buy analysis.
    • Research, plan and implement new procedures and systems for real estate operations to maximize operating efficiency, reduce downtime and risk, control costs and add value.
    • Formulate real estate operations policies and practices and standard operating procedures to include safe and secure real estate operations
    • Co-ordinate with the Team regarding real estate operations, financial and budget activities for maximum value and efficiency, including cost and time saving measures
    • Facilitate the preparation and analysis of real estate operation reports
    • Review performance data to monitor and measure productivity, goal progress and activity levels using appropriate key performance indicators and other measurements
    • Responsible for the achievement of HQ and program real estate operations productivity, safety programs (in coordination with Heluna’s HR department), rules, guidelines and quality goals as it pertains to HQ (NorCal) and other sites.
    • Prepare recommendations and implement policies to make sure that all buildings are up to code, safe and compliant with all local, county, state and federal jurisdictional laws and regulations including receiving advice and recommendations about resolving issues from building engineers, subject matter experts, and then coordinating with the Team any necessary inspections
    • Participate in on-going administration of the organization’s Business Continuity Management Plan; continuously assess recovery and mitigation of risks to the operations; and incorporate critical mitigation and resilience measures into associated processes and procedures
    • Serve as the point of contact for building security, maintenance, office space management and leasing for our Northern California headquarters and coordinate with the Team to assist as necessary with program and other HQ leased sites wherever they are located
    • Coordinate the procurement of office supplies, services, repairs and meeting spaces
    • Research and recommend appropriate commercial property lease administration and management software to enable compliance with all regulatory and accounting guidance including ASC 842
    • Other duties as assigned

    Qualifications:

    • Bachelor’s or higher degree in a related field, MBA and/or finance background preferred.
    • Project Management Professional (or similar) certification also a plus.
    • A minimum of five (5) years of proven experience as Manager of Real Estate Operations or equivalent position
    • Proven experience identifying, securing and negotiating financing for commercial real estate acquisitions and corporate leases
    • Experience working with and understanding building engineers and other subject matter experts who (after assessing building codes to ensure that commercial real estate is compliant) will advise about any issues and recommend solutions to the Manager of Real Estate Operations for their timely decision
    • Able to quickly diagnose and demonstrate resourcefulness in resolving problems
    • Outstanding written and oral communication skills. Have the knowledge, experience and patience to communicate with a variety of stakeholders.
    • Knowledge of project management principles and practices
    • Knowledge of financial and accounting principles and practices
    • Experience negotiating and contracting with vendors
    • Extensive knowledge of office administrative processes, principles and procedures
    • Knowledge and experience in organizational effectiveness and operations management
    • Knowledge and experience of nonprofit industry relevant business and management principles and practices a plus
    • Proficient in software applications including Oracle Fusion, Microsoft Office including (Excel, Word, PowerPoint), Salesforce, Concur, UltiPro, Replicon and commercial property lease administration and management software (if applicable)
    • Proficient in ensuring and maintaining building security
