    Payroll Analyst 

    Fully remote role and open to out of state candidates BUT must be based either in Pacific Time or Mountain Time Zone (Colorado, Arizona, Utah, Wyoming, Montana and New Mexico) because the company is in Orange County.

    Job Summary

    Responsible for supporting the overall analysis and administration of the company's Payroll Department; including, suggesting new and efficient changes to current processes, handling payroll data metrics analysis, and supporting the Payroll Specialist in their role. Performs a wide variety of payroll activities including the process of a timely and accurate periodic multi-state payroll, including maintaining related records, preparing transactions and documents, documenting and updating procedures, and preparing special reports for various departments and management. This position is responsible for all day to day payroll related activities such as executing overall workflow in and out of the system and troubleshooting issues encountered in processing payroll. Applies knowledge/skills to a range of activities; must understand the interfaces with the company’s ERP system, payroll G/L, benefit providers, and the payroll system. Must leverage all appropriate systems, and non-system controls to ensure compliance with Sarbanes-Oxley (SOX) policies. The objective is to deliver quality work in a timely fashion consistent with established standards. Performs all duties in accordance with the company’s policies and procedures, all US state and federal laws and regulations, wherein the company operates.

     

    Essential Responsibilities

    • Ensure timely processing of periodic multi-state payroll for over 1,000 employees including field workers and administration in accordance with labor regulations.
    • Review and analyze all information after it’s exported from the company’s ERP system into the payroll system.
    • Sets up and maintain in the payroll system all garnishments, child support orders and levies, per state and federal statute, including contact with courts and agencies as needed.
    • Responsible for all payroll activities involved in the preparation, audit, analysis, and payroll reconciliation before transmission.
    • Process manual checks/wires as needed.
    • Prepare stop payments, cancel issues and enters manual check issues in the Positive Pay file through the company’s online banking portal.
    • Troubleshoot and analyze payroll system functions to ensure accuracy and compliance.
    • Organize and maintain payroll activities.
    • Prepare and analyze various payroll and tax reconciliations semi-monthly, monthly, quarterly, and annually.
    • Manage and analyze the agencies tax notification; work closely with payroll vendor to resolve any tax discrepancies and filings.
    • Prepare and submit various multiple worksite reports and establishment reports.
    • Analyze, develop and design various reports to produce payroll data and trends to distribute to stakeholders.
    • Determine, build and maintain month end reports and Ad Hoc reports, as needed.
    • Meet required deadlines for payroll processing while maintaining a high degree of accuracy.
    • Adhere to strict compliance with SOX controls.
    • Comply with local, state and federal payroll regulations and maintains current knowledge of wage and hour laws.
    • Responsible for various audits including but not limited to internal and external SOX, 401k, Workers Compensation, and Benefits.
    • Coordinate third party payroll system implementations and upgrades.
    • Act as backup to Payroll Specialist as needed.
    • Able to manage multiple assignments and/or special projects that require interpreting and providing sound conclusions.
    • Perform other duties as assigned.

    Knowledge & Skills

    • Working knowledge of multi-state payroll practices.
    • Working knowledge of payroll tax at the federal, state, and local levels.
    • Working knowledge of wage and hour laws.
    • Working knowledge of outsourced payroll systems – ADP Payforce, ADP Reporting, ADP Tax, and ADP Connection, required.
    • Working knowledge of Enterprise eTime or Kronos Time Keeping System, strongly preferred.
    • Advanced proficiency with Microsoft Office including Excel and Word.
    • Ability to maintain privacy and confidentiality.
    • Ability to develop and maintain effective working relationships internally and externally.
    • Strong collaboration skills.
    • Sarbanes Oxley experience, preferred.
    • Strong verbal, written communication, analytical, multi-tasking, and organizational skills, with the ability to work under pressure.
    • Demonstrated initiative and ability to work independently with minimal supervision, as well as ability to collaborate closely with other teams to accomplish objectives and deadlines.
    • Demonstrated ability to handle complex issues and problems.
    • Strong skills and knowledge of methodologies associated with analysis of processes and problems, information flow and architecture.
    • Demonstrated problem solving skills.
    • Possesses comprehensive knowledge of subject matter.
    • Adaptable to a fast-changing work environment; able to deliver accurate and on-time payroll regardless of the circumstances.
    • Strong mathematical skills.

    Qualification:

    • 4 Year Bachelor's Degree in Business, Accounting, Computer Science, or Mathematics preferred 
    • 5 plus of Payroll experience preferred along with high-volume and multi-state payroll processing experience
    • Experience in ADP Payforce and/or ADP Vantage is highly  (The company  will migrate from Payforce to Vantage by next year or the following year)
    • Familiar with other ADP products such as ADP Reporting and e-Time (Kronos is okay as well).
    • Familiar with set up of payroll for OH, PA is highly desirable
    • CPP – Certified Payroll Professional, preferred
