Birch Bark Veterinary Clinic is seeking a compassionate, dependable, and highly organized Client Service Representative to join our close-knit team. As the first voice clients hear and the first face they see, our CSRs play a vital role in creating the warm, respectful, and personalized experience our practice is known for.
We are a locally owned veterinary clinic built on relationships, trust, and teamwork — not a corporate environment. Our front desk team handles a fast-paced workload while maintaining professionalism, empathy, and efficiency.
Key Responsibilities
• Provide warm, professional service to clients in person and by phone • Manage a high-volume, multi-line phone system • Schedule appointments while balancing medical urgency and doctor availability • Process invoices, payments, and financial transactions accurately • Maintain precise client and patient records • Coordinate communication between clients and medical staff • Manage prescription refill requests and follow-ups • Provide clear information about services, policies, and recommendations • Support clients during routine visits as well as stressful or emotional situations • Maintain an organized, calm, and efficient reception area • Assist the team wherever needed to ensure smooth daily operations
Qualifications
• Proven customer service experience required • Veterinary, medical, or high-level service experience strongly preferred • Excellent communication skills — kind, confident, and professional • Ability to multitask accurately in a fast-paced environment • Strong problem-solving skills and attention to detail • Comfortable learning and using computer systems (ezyVet experience a plus) • Compassion for animals and empathy for their owners • Dependable, punctual, and accountable • Positive attitude and willingness to contribute to a team environment
Schedule
Full-time or part-time opportunities available. Hours may include evenings and occasional Saturdays. Consistent attendance and reliability are essential.
