    OVERVIEW: When Access Veterinary Care first started, the goal was to change the industry to be able to help more pets stay with their families. We are now taking that vision to new heights with our planned merger with a phenomenal local non-profit to expand services and create future growth opportunities! We are seeking a dedicated Veterinary Practice Manager that is comfortable with navigating change to help shepherd these two organizations (and the teams that make up these organizations) to a new future!

    The Practice Manager is responsible for overseeing daily operations of Access Veterinary Care - a stand-alone Urgent Care clinic. This position provides a variety of analytical, evaluative, advisory, coordination, supervisory, and technical functions in support of the facility and overall organization.

    DUTIES AND RESPONSIBILITIES:

    Clinical Leadership

    -Ongoing Operations-

    Coordinate review and updates of clinical policies as appropriate

    Build strong, collaborative relationships with technicians and the Community Medicine team.

    Work with the Front Desk Manager and Lead Technician to ensure high-quality medicine and client experiences, including team approach to evaluating and addressing client complaints.

    Review and advise on clinical revenue performance.

    Make decisions on medications and supplies to stock, balancing accessible care principles and clinical efficacy.

    -Program and Service Growth-

    This position collaborates strongly with the Medical Director and Executive Director to advise ongoing programming and growth, in particular on the following objectives:

    Identify and communicate opportunities to improve the quality and accessibility of medical care.

    Advise on the clinical development of new programming or clinical services and support associates in onboarding (e.g. addition of ultrasound)

    Propose changes to clinical services in response to evolving community needs.

    Stay informed about new technologies, equipment, and supplies that could improve quality or reduce costs.

    Evaluate clinic space utilization and recommend improvements.

    Proactively identify gaps in care and propose actionable solutions.

    Human Resource Management

    • Supervision responsibilities-

    Coordinate hiring, supervise, and evaluate staff.

    Collaborate with Team Leads, Executive Director, and Medical Director on disciplinary actions, terminations, and other HR matters in accordance with personnel policies.

    Coordinate and run regular staff meetings (monthly), including ensuring information sharing happens through multiple channels.

    -Staff Support-

    Identify training opportunities and mentor staff.

    Promote a culture of continuous learning and collaboration.

    Develop and evaluate staffing models aligned with and patient care needs.

    -HR-

    Process biweekly payroll and retirement contributions for clinic staff

    Administer benefits program for clinic staff

    Work with ED to develop long-term plan for organizational structure and overarching HR policies

    Responsible for disciplinary actions and termination as needed for employees.

    -Organizational Growth-

    Act on leadership team to advise ED on long-term organizational structure

    Aid with transition of Access Veterinary Care from stand-alone Urgent Care clinic to clinic program within a larger non-profit organization.

    Evaluate position responsibilities on ongoing basis to help ensure coordinated clinical and programming growth.

    Clinic Operations

    Note: this position is responsible for overseeing the following. Specific daily involvement may change based on Practice Manager’s desired structure and advisement, in accordance with available administrative time for other staff to support this role. Many existing policies and procedures and additional staff are involved in the following; this position will help develop ongoing policies to centralize and streamline these obligations. Restructuring of existing staff responsibilities is an option.

    -Regulatory Responsibilities-

    Ensure the clinic is in compliance with all DEA, Minnesota Board of Veterinary Medicine, OSHA, and radiation safety guidelines.

    Ensure the clinic is in compliance with all state and federal small business and/or nonprofit obligations as the clinic evolves.

    -Financial Responsibilities-

    Ensure Quickbooks entries are up to date, in accordance with AAHA chart of accounts

    Prepare monthly financial statements for leadership team

    Perform ongoing bank reconciliation and cash drops

    Lead yearly pricing evaluation and pricing changes

    -Inventory and Supply Management-

    Ensure supplies are ordered in manner that allows for ongoing clinical services

    Ensure controlled substances are ordered, logged, and used in compliance with DEA

    Ensure equipment is serviced and upkeep happens on ongoing basis

    Inventory and supply management may have support from additional staff if desired

    Guide yearly inventory counts

    -Client Relations-

    Provide compassionate and inclusive communication to clients across a broad range of financial and identity backgrounds.

    With Front Desk Staff, ensure clinic schedule is maintained in an approach that balances community need and staff capacity.

    Address escalated client concerns compassionately and in a collaborative manner.

    Evaluate, develop, and implement policies for ongoing additions to options for financial assistance, including grants, 3rd party payment plans, internal community funds, and coordinating access to existing community services.

    -Partnerships, Marketing, and Events-

    Coordinate participation in community events and partnerships including Twin Cities Pride, Can Do Canines Gala, and others as they develop.

    Point of contact for Crystal Police Department in regards to patients on stray hold.

    Advise and implement ongoing strategies for marketing campaigns related to clinic services.

    DESIRED EDUCATION AND EXPERIENCE:

    Certified Veterinary Practice Manager (CVPM);

    Bachelor’s degree in business administration or a related field and three years of relevant experience

    Equivalent combination of education and experience

    Licensure and Certification

    CVPM preferred but not required.

    Job Type: Full-Time

    Pay: Salaried at $60,000 - $75,000/year depending on experience and qualifications

    Expected hours: 40 hours per week

    Schedule:

    8 hour shifts

    Monday - Friday
