    SCOPE

    The Assistant Director (AD) will perform administrative and marketing duties to support the Director. The AD will develop a marketing plan tied to metrics each fiscal year which reflect the division’s return on investment and accurately keep and maintain the division’s records which includes goal and budget tracking; preparation of performance data; ongoing development and upkeep of crew, vendor, client and newsletter databases and serves as the primary crew, vendor and hotel liaison.

    Additionally, this position will assist the Director and Location Coordinator in managing projects as well as sales and marketing efforts; and is responsible for the ongoing development and upkeep of key promotional and marketing tools including the website, social media, production directory and newsletters.

    The AD will work towards obtaining the designation by the Association of Film Commissioners as a Certified Film Commissioner and thus act as Director in their absence.

    DESCRIPTION OF DUTIES/ESSENTIAL FNCTIONS: (individual duties, assignments, and responsibilities required of the position)

    Assist Director and Location Coordinator with sales and marketing initiatives in marketing Dallas to attract and retain business and encourage local industry growth.

    Assist in the fulfillment of information and resource requests and creation of customized information packages for clients.

    Assist with organizing client site visits and travel arrangements.

    Assist Director and Location Coordinator with tracking of production activities.

    Responsible for compiling data to report the economic impact from the industry and efforts of the division.

    Assist Director with division budget tracking and reporting.

    Assist in development and implementation of marketing materials and events.

    Responsible for organization and upkeep of division records and files.

    Act as primary crew, vendor and hotel liaison.

    Responsible for obtaining and retaining current crew and vendor information.

    Organizing, maintaining and upkeep of resumes and current contacts.

    Responsible for responding to general information requests from the industry and public.

    Responsible for dissemination of information related to industry events, meetings, and job leads via email, website, social media and newsletters.

    Responsible for the review, maintenance and continual development of website ensuring content revisions are managed effectively and on a timely basis as well as troubleshoot with the webmaster where and when appropriate.

    Responsible for production directory listings, sign up process and the production of any printed materials.

    Assist the Location Coordinator with preparation of photo packages that may include location scouting when needed.

    Responsible for the selection and supervision of interns and/or volunteers.

    Perform other tasks as assigned.

    SUPERVISORY RESPONSIBILITIES: (personnel supervision, budgets, performance, etc.)

    Supervise interns and/or volunteers

    EDUCATION AND/OR EXPERIENCE: (special training, certifications, college degree, etc.)

    Bachelor’s Degree in radio/television/film or mass communications/media related programs preferred.

    Extensive knowledge of Dallas and history of film production in Dallas, the region and its resources, geography, demographics and laws that may affect the industry

    5 years film industry experience can be substituted for degree

    Knowledge of film/television production and the production process preferred

    Experience in digital photography and related computer capabilities

    Video/Audio recording and editing skills preferred

    Association of Film Commissions International Film Commission Fundamentals and Film Commission Professional completed classes preferred or completed within (6) months of hire; completed master classes for certification within (18) months of hire

    Established industry contacts

    KNOWLEDGE, SKILLS AND ABILITIES (technical, communication, interpersonal, etc.)

    High level of interpersonal skills, with the ability to interact with all types of people

    Thorough knowledge of film production and creative processes

    Must be proficient in Microsoft Office, Adobe Design, Photoshop, Reel-Scout, and WordPress

    Proven team leader with a high level of energy and motivation

    Coaching and counseling skills

    Outstanding oral, written and listening communication skills

    Ability to motivate team to produce quality work in tight time frames

    Ability to draft presentation materials

    Understanding, yet persuasive and decisive when dealing with others both inside and outside the organization including presentations (Industry, Government, Education and other organizations in public forums)

    WORK ENVIRONMENT: (overtime, travel, physical demands, and conditions)

    Position functions in an office environment as well as outdoors and other locations relevant to meetings, events, conferences and scouting locations

    Times when scouting a location, attending events or working with industry representatives requires additional activity and longer working hours

    Must be willing to travel and work long or irregular hours
